Office Assistant

IMC is looking for an Office Assistant to support all employees at our London office. In this varied role, you will be the first point of contact and act as host/hostess for both external and internal visitors. In addition, you will be co-responsible for a wide range of activities and events. In this versatile position, you and your colleagues will ensure the smooth day-to-day running of the reception.

We are looking for a proactive candidate who places a high value on hospitality: an energetic team player who is well-organised, loyal, flexible, and sociable.

Your Core Responsibilities

  • Acting as host/hostess for both internal and external visitors
  • Booking travel arrangements and preparing travel itineraries
  • Handling telephone and email communication
  • Managing incoming and outgoing mail and courier deliveries
  • Acting as the point of contact for various suppliers, including courier services
  • Assisting the Office Manager with office events
  • Managing office supply inventory
  • Coordinating meeting room bookings and ensuring that these, as well as the reception desk, are kept in good order
  • Supporting leaders with ad hoc administrative tasks, including booking travel via Egencia, processing expenses, and scheduling meetings
  • Performing various administrative tasks

Your Skills and Experience

  • At least 1 year of experience in a similar role (Receptionist, Office Assistant, Host/Hostess) in an international environment
  • Strong command English (both spoken and written)
  • Experience with Microsoft Office applications
  • Strong interpersonal and organizational skills
  • Proactive, solutions-focused with a can-do attitude
