Luxury Operations Administrator
Trilogy Jewellers | Mayfair, London | Full-time, on-site
Five days per week, including regular weekends | 8:30am–6:30pm

Are you organised, confident with numbers and good at keeping records accurate? Join our Mayfair team and help the day-to-day running of a luxury watch, jewellery and handbag business.
This role gives you responsibility across payments, stock, bookkeeping and online listings. You will work closely with our sales team, helping the business run smoothly and delivering a professional service to clients.
What You Will Do
- Keep bookkeeping records, spreadsheets and transaction documents accurate and up to date.
- Check customer and supplier payments against invoices and records, and flag anything that does not match.
- Update stock records for watches, jewellery and handbags, including product details, values and stock movements.
- Keep website and marketplace listings accurate, including prices, descriptions and availability.
- Help with customer enquiries, appointments, emails and telephone calls.
- Support online orders, deliveries, social media administration and other day-to-day tasks.

What You Need
- Practical Excel skills: you can use formulas, XLOOKUP or VLOOKUP, SUMIF/SUMIFS, pivot tables, sorting and filtering, and spot missing or duplicate entries.
- Experience checking and recording high-value payments, matching them to invoices and keeping supporting records.
- Experience in administration, finance or operations. This may be in watches, jewellery, luxury retail, automotive, art or another business handling high-value goods or payments.
- Careful attention to detail, clear communication and a professional approach to clients.
- The ability to organise your work, follow tasks through and adapt when priorities change.
- Discretion when handling client information and financial records.

Watch, jewellery and luxury retail experience is valuable. If your experience is from another sector, explain the payment, stock and administration tasks you handled and how they relate to this role. Strong Excel skills and personal responsibility for payment checks remain essential.
About Trilogy Jewellers
We are an independent Mayfair business specialising in luxury watches, jewellery and handbags, including Rolex, Patek Philippe, Audemars Piguet, Cartier, Hermès and Chanel. This is an opportunity to take ownership of important daily operations within a small team working with exceptional products and private clients.
Working Arrangements
- Full-time, on-site in Mayfair, London.
- Five days per week on a rota, including regular weekends.
- Hours: 8:30am–6:30pm.
