Luxury Operations Administrator

Excel, High-Value Payments, Bookkeeping & Stock Control

Trilogy Jewellers | Mayfair, London | Full-time, on-site

Trilogy Jewellers is seeking an experienced operations administrator to support our luxury watch, jewellery and handbag business in Mayfair.

Advanced practical Excel skills and previous responsibility for high-value payments in a comparable business are essential. You must be confident maintaining accurate financial and stock records, checking transaction details and taking ownership of your work from the outset.

Essential experience and skills

  • Strong Microsoft Excel proficiency: you use Excel confidently in your day-to-day work, including formulas, lookups such as XLOOKUP or VLOOKUP, SUMIF/SUMIFS, pivot tables, sorting and filtering. You can reconcile data across records and identify missing, duplicate or incorrect entries independently.
  • Relevant business experience: you have worked in an administration, finance or operations role within luxury watches, jewellery, premium goods, high-value automotive, art or a comparable business handling high-value transactions. You must have personally handled payment administration and reconciliation, with responsibility for checking amounts, references and supporting documentation.
  • Exceptional attention to detail: you check figures, invoices, payment records, product references and stock movements carefully. You investigate discrepancies and raise concerns promptly rather than making assumptions.
  • Professional client-facing standards: you maintain smart, professional presentation appropriate to a luxury showroom, communicate clearly and courteously, and are comfortable welcoming and assisting high-end clients when required.
  • Flexibility and ownership: you are willing to support ecommerce, product listings, social media administration, logistics and general business tasks alongside your core responsibilities. You organise your workload, adapt to changing priorities and follow tasks through without constant supervision.
  • Discretion and sound judgement: you handle confidential client and financial information carefully and follow the company's payment, approval and record-keeping procedures.

Your responsibilities

  • Maintain accurate bookkeeping records, Excel reports and supporting transaction documentation.
  • Record and reconcile high-value customer and supplier payments against invoices and internal records, escalating discrepancies before transactions progress.
  • Maintain stock records for watches, jewellery and handbags, checking product details, references, values and all stock movements.
  • Keep website and marketplace listings accurate and up to date, including descriptions, prices and availability.
  • Support the sales team with administration, client enquiries, appointments and professional telephone and email communication.
  • Assist with ecommerce orders, social media administration, delivery coordination and other operational tasks as business needs change.

About Trilogy Jewellers

Based in Mayfair, we specialise in luxury watches, jewellery and handbags, including Rolex, Patek Philippe, Audemars Piguet, Cartier, Hermès and Chanel. Our business depends on precision, discretion, trust and exceptional client service. This role offers responsibility and autonomy within a small team working with high-value goods and private clients.

Working arrangements

  • Full-time and on-site in Mayfair, London.
  • Five days per week on a rota, including regular weekend working.
  • Working hours: 8:30am–6:30pm.
  • Competitive salary based on relevant experience.
