The Role
We are seeking a reliable and proactive Mail Administrator with Front of House responsibilities to join our London office. This role is primarily focused on managing high-volume mail operations using Digital Mailroom technology, while also providing professional reception support as needed.

Reporting to the Head of Service Delivery, you will play a key role in ensuring the accurate and timely processing of incoming mail, alongside maintaining a welcoming and professional front-of-house presence. The ideal candidate will be detail-oriented, organised, and adaptable, with the ability to balance administrative priorities with client-facing responsibilities.
Key Responsibilities
- Process high volumes of incoming mail using Digital Mailroom systems
- Accurately log and manage mail within the CRM system
- Sort and categorise incoming mail for distribution and processing
- Handle “Return to Sender” mail efficiently and accurately
- Maintain accurate records and ensure all data is up to date
- Support deliveries, collections, and general mailroom operations
Front Of House Support
- Welcome and greet visitors, ensuring a professional and friendly experience
- Handle incoming calls, emails, and general enquiries when required
- Assist with meeting room bookings and preparation
- Act as a point of contact for couriers and contractors
- Ensure visitors are signed in and out in line with security procedures
- Maintain a clean and organised reception area
What We Are Looking For
- Experience in a mailroom, administrative, or operations role within a fast-paced environment
- Strong attention to detail and ability to process high volumes of work accurately
- Good IT skills, including experience with CRM systems and Microsoft Office
- Ability to manage multiple priorities and remain focused under pressure
- Professional, friendly, and confident when interacting with visitors and clients
- Strong communication skills, both written and verbal
- Reliable, proactive, and highly organised
- Flexible approach, with willingness to support front-of-house duties as required
