Mailroom Assistant

CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. The role of Mailroom Assistant is key to the site operation, being the sole point of contact for client and CBRE staff regarding mail, goods in and out.

The role holder is responsible for the mailroom function at the client's corporate office, including meeting room setup, taking delivery of pallets of goods, so physical fitness is essential.

This is a Fixed Term Contract, covering a leave of absence to September 30th, 2027.

What You’ll Do

  • Demonstrate strong HOST values, with a customer delight mindset during all tasks.
  • Be a professional, well-presented, welcoming face of CBRE and key point of contact for the client and international, diverse workforce.
  • Excellent communication skills - verbal, phone, written, and computer literate.
  • Assisting with topping up consumables in meeting rooms and printer areas as needed, including changing copy toner and stocking paper.
  • Delivering packages and mail around a 5-storey building.
  • Arranging goods in and goods out via couriers and Royal Mail.
  • Use of pallet trolleys to move goods around and take deliveries from couriers.
  • Setting up meeting rooms and conference rooms in various formats, including moving desks and chairs as needed - physical fitness is essential.
  • Scanning mail and sending it to relevant staff.
  • Ensuring compliance with legislative, Client, and CBRE Quality, Health, Safety, and Environmental requirements at the site.
  • Completing assigned e-learning as needed.
  • Assist visitors and clients in using meeting room AV systems.
  • Assist with basic FM duties such as tap flushing, tap temperature tests, fire alarm weekly tests, fire drills, and monthly visual inspections of fire extinguishers.

This is an office-based role, Mon-Fri 8am - 4.30pm with half-hour lunch on a fixed-term contract to 30th September 2027. Perform any other reasonable task as required by their Manager.

What You’ll Need

  • Minimum 4 at GCSE English Language and maths or equivalent.
  • PC literate - word, excel, outlook.
  • Excellent spoken and written English.
  • Ability to communicate at all levels.
  • Client delight mindset.
  • Experience in mailroom function.
  • Physical fitness for moving furniture in meeting rooms and delivery pallets.
  • Ability to prioritize workload effectively.
