The Role

As a Mail Room Manager, you will be responsible for overseeing all mailroom operations, ensuring the efficient handling, distribution, tracking, and security of incoming and outgoing correspondence, parcels, and business-critical documents. You will be managing mailroom staff, coordinating with courier and postal service providers, maintaining compliance with organizational policies, and driving operational excellence across mail and document management services.

Key responsibilities:

  • Manage end-to-end mailroom operations, including receipt, sorting, distribution, collection, and dispatch of mail and packages.
  • Ensure timely and accurate delivery of internal and external correspondence across business functions.
  • Oversee records and document management processes, ensuring secure handling, storage, and tracking of sensitive information.
  • Coordinate with postal services, courier vendors, and logistics providers to ensure effective service delivery.
  • Monitor mailroom performance, establish service standards, and implement process improvements to enhance efficiency.
  • Manage mailroom equipment, technology, supplies, and inventory to ensure uninterrupted operations.
  • Ensure compliance with company policies, data privacy regulations, and security procedures related to mail and document handling.
  • Lead, train, and supervise mailroom staff, ensuring high performance and service quality.
  • Manage budgets, postage expenses, and vendor contracts to optimize operational costs.
  • Collaborate with facilities, administration, and business teams to support organizational requirements and special projects.

Your Profile

Essential skills/knowledge/experience:

  • Proven experience managing mailroom, document management, or administrative operations within a corporate environment.
  • Strong knowledge of mail distribution, courier services, logistics, and document handling processes.
  • Experience in facilities management and workplace services.
  • Excellent vendor and stakeholder management skills.
  • Strong leadership and team management capabilities.
  • Knowledge of records management, compliance, and information security requirements.
  • Experience in process improvement and operational efficiency initiatives.
  • Strong organizational, problem-solving, and multitasking skills.
  • Proficiency in Microsoft Office and mail tracking systems.
  • Ability to manage multiple priorities in a fast-paced environment.
