Maintenance and Procurement Administrator

We are seeking a highly organised, proactive, and detail-oriented Maintenance and Procurement Administrator to support the effective management of maintenance operations, purchasing activities, and supplier relationships across our care home services.

This is an important support role within our organisation, helping to ensure that our care homes remain safe, well-maintained, adequately stocked, and compliant with relevant operational requirements. You will coordinate maintenance requests, arrange repairs and servicing, process purchase orders, monitor deliveries, and maintain accurate records of expenditure, assets, and compliance documentation.

The successful candidate will have excellent administrative and organisational skills, a methodical approach to record-keeping, and the ability to manage competing priorities in a busy, multi-site healthcare environment. You will play a key role in ensuring that maintenance issues are addressed promptly, essential supplies are available when required, and procurement activities deliver value for money without compromising resident safety, service quality, or operational standards.

Key Responsibilities

Maintenance Coordination and Administration

  • Receive, log, and monitor maintenance requests from care homes, ensuring jobs are prioritised according to urgency, risk, and operational requirements.
  • Coordinate maintenance visits, repairs, servicing appointments, and planned preventative maintenance activities across multiple sites.
  • Liaise with care home managers, maintenance personnel, and external contractors to arrange work and monitor progress.
  • Maintain an up-to-date maintenance log, tracking outstanding jobs, completion dates, contractor attendance, and follow-up actions.
  • Schedule routine inspections, servicing, and maintenance activities, ensuring appointments are communicated clearly to relevant teams.
  • Escalate urgent repairs, safety concerns, and overdue maintenance tasks to the appropriate person.
  • Assist with maintaining accurate property, equipment, and asset registers, including service histories and replacement requirements.
  • Ensure maintenance records, job sheets, service reports, and completion certificates are received, recorded, and filed appropriately.
  • Support the preparation of maintenance reports and help identify recurring issues across care homes.
  • Coordinate access arrangements for contractors, ensuring work is planned to minimise disruption to residents and care delivery.

Procurement and Purchasing

  • Process purchase requisitions, purchase orders, and procurement requests in accordance with organisational procedures and delegated approval limits.
  • Obtain quotations from approved suppliers and contractors, comparing costs, availability, delivery times, and specification requirements.
  • Assist with sourcing maintenance materials, building supplies, tools, equipment, fixtures, fittings, and general facilities supplies.
  • Liaise with suppliers to confirm orders, delivery dates, pricing, product specifications, and outstanding issues.
  • Monitor outstanding orders and follow up on delayed or incomplete deliveries to ensure operational requirements are met.
  • Maintain accurate purchasing records, supplier details, quotation comparisons, and order documentation.
  • Ensure purchases are appropriately authorised and supporting documentation is available for invoice processing.
  • Identify opportunities to reduce costs, consolidate orders, improve purchasing efficiency, and obtain value for money.
  • Support compliance with approved supplier arrangements, procurement policies, and financial controls.
  • Assist with supplier reviews and maintain records of supplier performance, service quality, and delivery reliability.

Stock Control and Inventory Management

  • Monitor stock levels of maintenance materials, tools, equipment, and frequently used consumables across care homes.
  • Coordinate stock requests and replenishment orders to minimise shortages, unnecessary expenditure, and waste.
  • Maintain accurate inventory records and assist with periodic stock checks.
  • Monitor the condition, availability, and replacement requirements of tools, equipment, and relevant assets.
  • Ensure stock is stored, recorded, and distributed appropriately in accordance with organisational procedures.
  • Support the introduction of standardised ordering processes and stock control systems across multiple sites.

Compliance and Documentation

  • Maintain organised records of statutory inspection certificates, servicing documentation, maintenance reports, contractor records, and relevant compliance evidence.
  • Assist in monitoring inspection and servicing schedules for fire safety systems, emergency lighting, electrical installations, gas appliances, lifts, and water hygiene.
  • Flag upcoming inspection dates, overdue documentation, and outstanding remedial actions to the appropriate person.
  • Ensure contractor documentation, including insurance details, risk assessments, method statements, and relevant competency records, is obtained and recorded where required.
  • Support the maintenance of audit trails for purchasing, expenditure approvals, and completed works.
  • Handle sensitive organisational information appropriately and comply with data protection, confidentiality, and information governance requirements.
  • Assist with preparing documentation for internal audits, external inspections, and management reviews.

Finance and Invoice Administration

  • Check supplier invoices against purchase orders, quotations, delivery notes, and evidence of completed work.
  • Identify and resolve discrepancies relating to pricing, quantities, delivery charges, or incomplete services.
  • Liaise with the finance team and suppliers to resolve invoice queries and ensure timely processing.
  • Maintain accurate records of purchasing expenditure, outstanding commitments, and supplier costs.
  • Assist with budget tracking, expenditure reports, and identifying variances.
  • Ensure procurement transactions are processed in accordance with internal financial procedures and approval requirements.

Communication and Stakeholder Support

  • Act as a central point of contact for routine maintenance and procurement enquiries.
  • Build effective working relationships with care home managers, maintenance teams, suppliers, contractors, and finance colleagues.
  • Provide timely updates on maintenance requests, order progress, deliveries, and outstanding issues.
  • Respond professionally to enquiries and direct requests to the appropriate person when further action is required.
  • Provide administrative support for meetings, reports, and improvement projects.
  • Promote a responsive, organised, and service-focused approach that supports the smooth operation of our care homes.

About You

You will be a reliable and organised administrator who takes pride in accuracy, effective communication, and delivering a high standard of support.

You will ideally have:

  • Previous experience in administration, maintenance coordination, procurement, purchasing, facilities management, or a similar support role.
  • Strong organisational skills and the ability to manage multiple requests, deadlines, and priorities.
  • Excellent attention to detail when processing orders, maintaining records, checking invoices, and updating systems.
  • Good IT skills, including Microsoft Outlook, Word, and Excel.
  • Experience raising purchase orders, obtaining quotations, processing invoices, or liaising with suppliers and contractors.
  • Strong written and verbal communication skills, with a professional and customer-focused approach.
  • The ability to maintain accurate records and follow established procedures.
  • A practical, problem-solving mindset and the confidence to follow up outstanding tasks and escalate issues appropriately.
  • The ability to work independently while contributing effectively to a wider team.
  • An understanding of confidentiality, financial controls, health and safety, and the importance of maintaining safe environments in care settings.
  • The flexibility to support multiple care home locations and respond to changing operational priorities.

Experience within healthcare, residential care, nursing homes, or another regulated environment would be advantageous but is not essential.

Qualifications and Experience

  • GCSEs or equivalent, including English and Mathematics, are desirable.
  • A relevant qualification in business administration, procurement, supply chain management, or facilities administration would be advantageous.
  • Previous experience using purchasing, stock control, maintenance management, or finance systems would be beneficial.
  • Evidence of continuing professional development in administration, procurement, or facilities management is welcome.
  • Relevant experience and practical organisational skills will be considered alongside formal qualifications.

  • Positive working relationships with care home teams, suppliers, contractors, and internal stakeholders.
