Join our Maintenance team as a temporary Maintenance Controller at our Haverhill manufacturing site to play a key role in coordinating and controlling maintenance planning activities.
The Maintenance Controller is responsible for coordinating and controlling maintenance planning activities to ensure the efficient execution of preventative and reactive maintenance across the site. The role ensures that maintenance resources, materials, and schedules are aligned to meet operational requirements while maintaining compliance with cGMP standards, CMMS processes, and company procedures.
The Maintenance Controller acts as the key link between Maintenance, Operations, and Contractors to ensure maintenance work is planned, documented, executed, and recorded accurately.
Your Responsibilities
You will:
Maintenance Planning and Scheduling
- Manage short-term maintenance planning activities (0-4 weeks), ensuring maintenance tasks and resources are effectively aligned.
- Develop, maintain, and communicate weekly maintenance schedules.
- Coordinate preventative maintenance activities to maximise equipment reliability and minimise downtime.
- Coordinate reactive maintenance activities arising from equipment breakdowns and system failures.
- Review and reschedule missed maintenance tasks to ensure completion and compliance with maintenance requirements.
- Monitor maintenance backlog and prioritise work according to business needs and equipment criticality.
- Ensure required labour, parts, tools, and contractor resources are available to support planned maintenance activities.
Weekly Maintenance Coordination
- Chair the weekly maintenance planning meeting to review upcoming maintenance activities and priorities.
- Produce and communicate the agreed weekly maintenance plan.
- Deliver the arranged weekly maintenance plan to the maintenance team.
- Track progress of planned activities and provide updates on schedule adherence and completion status.
- Liaise with Operations, Maintenance, and external contractors to coordinate planned work.

CMMS System Administration and Support
- Maintain and manage maintenance activities within the validated CMMS system.
- Raise Purchase Orders (POs) resulting from equipment failures, maintenance requirements, and project activities.
- Process Goods Receipt Notes (GRNs) and contractor invoices in SAP, ensuring timely and accurate completion.
- Conduct CMMS training for maintenance and operational users as required.
- Provide first-line CMMS support and guidance to users.
Compliance and Documentation
- Ensure full compliance with cGMP documentation requirements and site procedures.
- Conduct weekly documentation dip checks to verify accuracy, completeness, and compliance of maintenance records.
- Maintain accurate maintenance histories and records within CMMS.
- Ensure all planned and completed work is documented and auditable.
- Support internal and external audits relating to maintenance systems and documentation.
Continuous Improvement
- Identify opportunities to improve maintenance planning, scheduling, and asset reliability.
- Assist with the development of maintenance KPIs and reporting metrics.
- Promote best practice in maintenance planning and asset management.
Our Requirements
Essential:
- NVQ Level 2 Admin or higher, BTEC Business Studies
- GCSE English and Math
Desirable:
- Proven experience in a maintenance and engineering environment
Key Skills and Competencies
Essential
- Experience within a maintenance planning, maintenance coordination, or engineering administration role.
- Working knowledge of preventative and reactive maintenance processes.
- Experience using SAP PM (Plant Maintenance) or similar CMMS systems.
- Strong organisational and planning skills.
- Excellent communication and stakeholder management skills.
- Proficiency in Microsoft Office applications.
- Ability to manage multiple priorities in a fast-paced manufacturing environment.
- Understanding of cGMP requirements and controlled documentation practices.

- Experience within a pharmaceutical, FMCG, food manufacturing, or regulated environment.
- Engineering or technical qualification.
- Knowledge of maintenance reliability principles and asset management systems.
