Criterion is seeking an organised and proactive Maintenance Operations Coordinator to support the day-to-day maintenance operation across our PRS portfolio.
The role will act as a key point of contact for maintenance queries, coordinating engineers, supporting the Maintenance VA team, and ensuring maintenance jobs, compliance requirements, and operational tasks are progressed and completed efficiently.
The ideal candidate will have experience working within property maintenance, facilities management, engineering, or a similar operational environment, with strong coordination and organizational skills and the ability to manage multiple priorities in a fast-paced environment.
The Role
The Maintenance Operations Coordinator will be responsible for keeping the day-to-day maintenance operation running smoothly across our PRS sites. Working closely with engineers, VAs, Procurement, IT, HR, Accounts, and other internal teams, the role will ensure maintenance requests, compliance tasks, and operational requirements are effectively coordinated and followed through to completion.
Key Responsibilities Include:
- Act as the first point of contact for maintenance queries, building team requests, and urgent operational issues.
- Manage the Maintenance Admin inbox, including maintenance-related legal and compliance correspondence.
- Coordinate engineer attendance across PRS sites and ensure maintenance jobs are progressed through to completion.
- Monitor and follow up on outstanding jobs, parts, materials, and procurement requirements that may delay works.
- Oversee the Maintenance VA team, helping to prioritise workloads, manage escalations, and ensure day-to-day administrative cover is maintained.
- Support VAs and engineers with urgent requests, escalations, and tasks requiring additional follow-up.
- Maintain accurate operational trackers and ensure key maintenance information is kept up to date.
- Coordinate engineer onboarding, including clock-ins, clock-outs, timesheets, uniforms, handsets, and site access requirements.
- Work closely with IT, HR, Procurement, and Accounts to resolve operational issues and keep maintenance activities moving.
- Coordinate and monitor statutory and compliance requirements, including emergency lighting tests, weekly flushing, ladder checks, and other relevant maintenance obligations.
- Follow up on outstanding compliance actions, including fire door works across the PRS portfolio.
- Review engineer expenses and invoices, obtain the necessary approvals, and liaise with Accounts to ensure payments are processed efficiently.
- Monitor vacant flats and coordinate engineers and internal teams to ensure required works are completed promptly.
- Work with Procurement on urgent materials, appliances, and other requirements associated with vacant-flat works.
- Provide operational support for urgent building and engineering issues, including on-call support where required.
- Coordinate engineer attendance for meter installations and commissioning, working with IT and maintenance teams to resolve networking or access issues.
- Support meter-related administration, including providing serial numbers and meter readings to utilities and internal teams and resolving related queries.
- Coordinate materials, engineer attendance, and follow-up actions for fire door works across PRS sites.
- Provide operational input into the implementation of new maintenance software, sharing feedback on existing processes and day-to-day operational requirements.
- Work collaboratively with internal teams and external contractors to identify and resolve issues and ensure the maintenance operation continues to run efficiently.
- Provide regular updates on outstanding works, compliance actions, and operational issues where required.

- Previous experience in property maintenance, facilities management, engineering, construction, or a similar operational environment.
- Strong coordination and organizational skills, with excellent attention to detail.
- Experience working with engineers, contractors, maintenance teams, or external suppliers.
- Good understanding of day-to-day property maintenance operations and compliance requirements.
- Strong communication skills, with the ability to deal confidently with engineers, contractors, building teams, and internal stakeholders.
- Ability to manage multiple priorities, follow up on outstanding actions, and ensure tasks are completed within required timescales.
- Comfortable handling escalations and responding to urgent operational issues.
- Good administrative and IT skills, with experience maintaining trackers and managing operational information.
- Proactive and solutions-focused, with the ability to work independently and take ownership of tasks.
- Comfortable providing support during urgent or out-of-hours situations when required.
- A practical approach to problem-solving and the ability to work effectively in a fast-paced environment.
