The Opportunity

Almac Pharma Services is delighted to offer an opportunity for a Maintenance Coordinator to join our Engineering team at our Charnwood site in Loughborough. This is an important coordination and administrative role that helps ensure our engineering records, maintenance systems and supporting documentation remain accurate, organised and ready for inspection. You will work closely with colleagues across Engineering and Facilities, providing the reliable day-to-day support that helps the department operate safely, efficiently and in line with our quality requirements.

Your day will involve updating and maintaining our computerised maintenance management system, registering assets and maintenance routines, and managing electronic and hard-copy engineering records. You will help ensure maintenance and calibration certificates are accurate, properly controlled and easy to retrieve when required for internal or external audits.

You will also support the coordination of contractors, including checking that contractors are registered and approved within the relevant contractor management system and arranging permits to work when required. Alongside this, you will assist with ordering spare parts, maintaining stock records, preparing maintenance reports and providing general administrative support to the wider Engineering team.

Key responsibilities include:

  • Updating and maintaining accurate information within the maintenance management system.
  • Managing computerised and hard-copy maintenance, engineering and calibration records.
  • Maintaining an organised engineering archive so documentation can be easily retrieved for audits.
  • Reviewing maintenance and calibration certificates to identify inaccuracies.
  • Preparing maintenance reports to support internal and external audits.
  • Supporting contractor registration, approval and permit-to-work arrangements.
  • Coordinating spare-parts orders and maintaining accurate stock records.
  • Providing general administrative and operational support to the Engineering team.

What You Need To Be Successful

To be successful in this role, you will bring previous experience of working within a maintenance and scheduling environment. You will be highly organised, comfortable managing several priorities at once and committed to maintaining accuracy across all records and administrative activities. You will also require:

  • Proficiency in Microsoft Office applications, including Word, Excel and Outlook.
  • Effective written and verbal communication skills.
  • The ability to work collaboratively as part of a team to deliver business objectives.
  • The ability to manage multiple tasks while maintaining a high level of accuracy.
  • A careful and methodical approach to maintaining records and documentation.

Previous experience within the pharmaceutical industry or another regulated environment would be advantageous, particularly if you have worked in line with good practice quality requirements.

Experience using document-control or maintenance-management systems would also be beneficial. Applicants must have eligibility to work in the UK with no restrictions OR possess a valid work permit that will allow you to take up full-time employment in the UK.
