Facilities Coordinator

We are seeking a proactive and organised Facilities Coordinator to support facilities and engineering operations within a GMP-compliant manufacturing facility. This is a 6-month contract position focused on coordinating planned maintenance activities, managing external service providers, and ensuring facilities-related work is completed safely, efficiently, and in accordance with GMP and site compliance requirements. This role is inside IR35.

Key Responsibilities

  • Coordinate and schedule external contractors and vendors for servicing, inspections, repairs, calibrations, and preventative maintenance activities.
  • Act as the primary point of contact for service providers visiting site.
  • Manage vendor access requirements, permits, inductions, and supporting documentation.
  • Liaise with Engineering, Facilities, Production, Quality, and EHS teams to ensure maintenance activities are planned effectively and minimise operational disruption.
  • Support the scheduling and tracking of planned preventative maintenance (PPM) activities.
  • Maintain accurate records of completed work, service reports, asset documentation, and compliance paperwork.
  • Monitor contractor performance and ensure work is completed to agreed standards and timelines.
  • Assist with the administration and management of facilities-related contracts and service agreements.
  • Support GMP compliance through accurate documentation and adherence to site procedures.
  • Coordinate follow-up actions resulting from audits, inspections, and maintenance activities.
  • Ensure all contractor activities comply with site health, safety, environmental, and quality requirements.

Essential

  • Previous experience coordinating facilities, maintenance, engineering, or contractor activities within a manufacturing environment.
  • Experience managing multiple contractors and service providers simultaneously.
  • Strong communication and stakeholder management abilities.

Desirable

  • Engineering qualification (HNC, HND, Apprenticeship, Degree, or equivalent).
  • Experience working within a GMP-regulated environment.
  • Familiarity with CMMS systems such as Maximo, SAP PM, eMaint, or similar.
  • Experience supporting facilities operations within pharmaceutical, biotechnology, medical device, or food manufacturing facilities.
  • Knowledge of permit-to-work systems and contractor management processes.
