Role Purpose
The Maintenance Coordinator is responsible for planning, scheduling, and coordinating maintenance activities across the company's portfolio of green roof installations. The role ensures that routine maintenance visits, inspections, remedial works, and customer service requirements are delivered safely, efficiently, and in accordance with contractual obligations.
The Maintenance Coordinator acts as the primary point of contact between clients, maintenance operatives, subcontractors, and internal departments, ensuring maintenance programmes are completed on schedule while maintaining high standards of customer satisfaction and operational performance.
Working Hours and Pay
Standard working hours will be 08:30-17:00 with 30 mins unpaid lunch (40 hours total) with a salary of £30,000 per year.
Key Responsibilities
Maintenance Planning & Scheduling
- Coordinate and schedule routine maintenance visits for green roofs, biodiverse roofs, blue roofs, roof gardens, and associated systems.
- Prepare and maintain annual maintenance programmes in line with contractual requirements.
- Allocate maintenance teams and subcontractors based on location, workload, qualifications, and availability.
- Optimise travel routes and scheduling efficiency to maximise productivity.
- Monitor upcoming maintenance requirements and ensure all visits are booked within agreed service periods.
- Manage reactive maintenance requests and arrange site attendance within required timescales.

Client Communication
- Act as the primary contact for maintenance-related enquiries.
- Liaise with clients to confirm appointments, access arrangements, permits, and site requirements.
- Provide updates regarding scheduled works, delays, weather-related changes, and completion status.
- Maintain professional relationships with customers and ensure a high level of service delivery.
- Address customer concerns and escalate issues where necessary.
Contractor & Operative Coordination
- Coordinate maintenance teams, technicians, and subcontractors.
- Ensure operatives have the correct equipment, materials, and site information.
- Monitor labour availability and resource utilisation.
- Assist with arranging specialist contractors when required.
- Support operational managers in managing workloads and priorities.
Health, Safety & Compliance
- Ensure maintenance visits are planned in accordance with company health and safety procedures.
- Verify that all operatives and subcontractors hold relevant certifications and training.
- Ensure risk assessments and method statements are current and available.
- Monitor compliance with working at height regulations and site-specific safety requirements.
- Report and escalate any safety concerns or incidents.

Reporting & Documentation
- Review maintenance reports submitted by operatives.
- Ensure photographs, inspection findings, and recommendations are recorded accurately.
- Prepare reports for clients detailing maintenance activities and observations.
- Generate performance reports and maintenance schedules for management review.
- Maintain accurate records within company management systems.
Financial & Commercial Support
- Raise purchase orders where required.
- Track maintenance contract requirements and service delivery obligations.
- Monitor maintenance-related costs and highlight potential budget concerns.
- Support invoice preparation through accurate completion records.
Continuous Improvement
- Identify opportunities to improve scheduling efficiency and service delivery.
- Contribute to the development of maintenance procedures and operational best practice.
- Support initiatives to improve customer satisfaction.
