The Opportunity
We are working with a family-run property specialist to find a dedicated Maintenance Coordinator for their team operating across London and the South East. This firm delivers reactive and planned maintenance alongside refurbishment services to residential and commercial property portfolios, having built a strong reputation on accountability and long-term relationships with property managers, developers, and landlords. This is a newly created role, established due to the business's continued growth.
The Role
You will act as the central point of contact for incoming work orders, managing the lifecycle of jobs from initial logging through to completion. You will liaise directly with property managers and engineers to keep projects moving, coordinating work across plumbing, electrical, roofing, and carpentry trades. You will troubleshoot issues before dispatching engineers, ensuring every job is completed to the appropriate standard and within agreed timescales. The role reports to the Senior Maintenance Coordinator or Operations Manager and is fully office-based in Takeley, Essex, working Monday to Friday, 9am to 4pm/5pm, with no out-of-hours requirement.

Key Responsibilities
- Receive, qualify, and log incoming maintenance requests, covering both reactive and planned work
- Coordinate jobs across plumbing, electrical, roofing, and carpentry trades from initial instruction through to completion
- Troubleshoot issues with property managers to diagnose problems before dispatching engineers
- Schedule and assign jobs to in-house engineers or external contractors based on priority, location, and skill set
- Monitor active jobs across trades to keep them on track and within agreed timescales
- Keep accurate records of job notes, materials used, and completion times
- Process contractor invoices and check them against work orders
- Act as the first point of contact for clients, keeping them updated on progress
The Person
We are looking for someone with previous experience in a coordination, administrative, or customer service role, ideally with exposure to working alongside engineers or tradespeople across plumbing, electrical, roofing, or carpentry. You should possess a general understanding of trade terminology, timeframes, and processes, though in-depth technical knowledge is not required. Strong organisational skills and the confidence to manage multiple jobs and stakeholders simultaneously are essential, along with excellent written and verbal communication.

Skills & Experience
- Previous experience in a coordination, administrative, or customer service role
- Experience working alongside engineers or tradespeople across plumbing, electrical, roofing, or carpentry
- A general understanding of trade terminology, timeframes, and processes
- Strong organisational and multitasking skills
- Excellent written and verbal communication
- Experience gained within property management, facilities management, or construction is desirable
- Confidence liaising directly with clients and managing their expectations
- Comfortable working in a fast-paced, reactive environment
