Maintenance Planner

About the Function

Supply Chain & Manufacturing is where our brands are made, moved and delivered to the world. It’s fast-paced and hands-on, with teams working together to ensure quality, efficiency and sustainability at every stage. From sourcing ingredients to getting products into customers’ hands, you’ll play a role in delivering the brands people know and love.

Purpose of the Role

Act as the central coordinator for the Malt Distilling Recurring Works programme, ensuring alignment between Operations, Engineering, Procurement, Governance and external contractors. Lead the annual tendering, contract award and mobilisation of Recurring Works services, delivering compliant and value-driven maintenance solutions. Maintain SAP PM / S/4HANA maintenance plans, programme data and reporting to support effective service delivery across Malt Distilling. Manage contractor inspection reporting, ensuring remedial actions are identified, visible and progressed through SAP. Drive continuous improvement, programme standardisation and cost-effective delivery across the Recurring Works portfolio. Ensure Recurring Works contractors are effectively onboarded and supported throughout the contract lifecycle. Develop collaborative relationships that enable successful delivery of the Recurring Works programme. Provide programme support and escalation management to maintain continuity of Recurring Works services.

Key Accountabilities

Programme Coordination

Coordinate the annual Malt Distilling Recurring Works programme, ensuring services remain aligned with operational, compliance and business requirements. Lead annual tendering, contract award and supplier mobilisation. Support programme delivery through effective stakeholder coordination. Identify opportunities to improve service delivery, programme performance and cost optimisation.

SAP & Programme Data

Maintain SAP PM / S/4HANA maintenance plans and Recurring Works master data. Ensure programme data remains accurate, aligned and supports effective maintenance planning. Provide SAP guidance and technical support for Recurring Works processes.

Inspection & Remedial Management

Manage the collection and review of contractor inspection and service reports. Identify remedial maintenance requirements from completed inspections. Create or coordinate follow-on Work Orders (ZPMRs) where required. Publish weekly SAP summaries of outstanding remedial actions by site, improving visibility and supporting maintenance planning.

Financial & Performance Management

Manage Purchase Orders, invoice approvals and financial controls to support effective programme delivery. Produce KPI reporting and programme performance metrics. Maintain programme records and support budget management.

Continuous Improvement

Drive process standardisation and SAP data quality improvements. Support automation and digital improvement initiatives. Promote best practice across the Recurring Works programme.

Experience Required

Essential

  • Strong planning, organisational and prioritisation skills.
  • Strong analytical and problem-solving ability.
  • Experience using SAP PM / S/4HANA.
  • Excellent communication and stakeholder management skills.
  • Experience managing contractors and external suppliers.
  • Ability to influence across multiple business functions.
  • Advanced Microsoft Excel and Microsoft 365 skills.
  • High attention to detail and data accuracy.
  • Ability to manage multiple priorities within a fast-paced environment.
  • Continuous Improvement mindset.

Desirable

  • Engineering or Asset Care background.
  • Contract tendering and supplier management experience.
  • Knowledge of statutory inspection and legislative compliance.
  • SAP master data management experience.
  • Experience using Power BI, Power Automate or Power Apps.
  • Project or change management experience.
  • Understanding of Manufacturing Excellence and Asset Care principles.
