Job Summary

To work alongside the Commercial Accountant to provide a comprehensive finance service to the commercial business within Ongo’s group of companies, which currently consists of: Ongo Roofing Limited, Ongo Heating and Plumbing Limited and Trent Valley Electrical Services Limited. Predominantly to prepare the monthly management accounts for each of the three entities with Ongo’s timeframes.

Main Responsibilities

Management Accounting

  • To provide the Commercial Accountant with financial management information in relation to the business requirements by means of preparing monthly management accounts for each entity within ten working days of each month end, incorporating a profit and loss account, balance sheet, project report, details on cash movements and other relevant information
  • Produce, with support of the Commercial Accountant, a flash set of results within five working days of the month end
  • Provide an interpretation of the management accounts to the Commercial Accountant to enable them to produce the commentary that goes alongside the accounts.
  • Calculate and enter into the finance software the journals required to produce the monthly management accounts, including the entry of the monthly payroll costs, accruals, prepayments, stock and work in progress, bad debt provision and late invoice creditors
  • Produce the appropriate balance sheet reconciliation to support the values included in the monthly management accounts
  • Enter the bank transactions into the finance software and reconcile the bank on a regular basis, ensuring discrepancies/ irregularities are highlighted and brought to the attention of the Commercial Accountant
  • To work alongside the operations team to ensure the allocation of income and costs across contracts are accurate
  • Produce, for the Commercial Accountant to discuss with the commercial managers, an accurate monthly project report showing the results of each contract for the month, year to date and lifetime using the finance software
  • Work with the Commercial Accountant to assist them in the preparation of monthly reforecasts and throughout the annual budget cycle
  • Perform data analysis as and when required
  • To ensure all monthly tasks are completed with the appropriate timescales
  • To assist with any statutory payments of PAYE/ NIC/ CIS etc. (this list is not exhaustive), which may involve liaising directly with HMRC
  • To agree all intra-group transactions with the finance staff responsible for the other entities
  • Support the Commercial Accountant with ensuring all reporting deadlines are met and all ad-hoc requests are responded to in a timely manner
  • To work with the Business Planning and Development Accountant where their work has a direct relationship with the commercial entities
  • Assist in the preparation of the year end reporting pack for use by the Financial Accountant. Respond to any questions from that postholder to ensure statutory accounts can be prepared within the required timescales
  • To deal with requests for transactional information from our external auditors, under direction of the Commercial Accountant as and when required.

Budgeting and Forecasting

  • To assist in the production of annual budgets and monthly reforecasts by providing help and assistance in pulling together information provided by the Commercial Accountant
  • To assist in the creation, maintenance and documentation of any schedule of long term, annual agreements, ensuring these reconcile back to any control account

Financial control

  • Identify process improvements within your given area of responsibility and make necessary recommendations and to work alongside the Commercial Accountant on the introduction of any areas identified for improvement
  • Ensure tasks are completed effectively, using the minimum amount of manual processing to achieve the result required by the business
  • Support the Commercial Accountant in educating and supporting the operations team to acquire knowledge and skills to understand financial processes and reporting
  • Maintain awareness of Ongo’s finance and other relevant policies and support with the compliance thereof
  • Support the Accounts Receivable team with managing the debtor position

Delivery of objectives

  • To align yourself with, and deliver towards, the following:
    • The Ongo Corporate Plan
    • Your own individual, and agreed, annual PDR
  • Other
    • The post holder may be asked to perform tasks for other entities within the Ongo group, as required
    • Having a key involvement in the testing and implementation of new systems and processes, including those related to the finance system and other systems used by the finance team. Work alongside other members of the finance team, the IT team, liaising with the project lead and other stakeholders
    • Any other duties commensurate with the role’s level of responsibility and/or as reasonably directed or requested by the Commercial Accountant, Senior Finance Business Partner (Group) or other senior or executive management.
  • To implement an ethos and culture of continuous improvement and challenge within the roles remit.
  • Day-to-day decision making regarding management of own workload to ensure all demands are met and often conflicting priorities are appropriately controlled and managed.
  • Required to make rational and objective judgements and decisions in challenging situations and whilst under pressure.
  • Decisions made must ensure that the group does not suffer any adverse financial or reputational damage.

Work Demands

  • Workload demands and priorities will change regularly depending on external factors and requests for service. There will be a constant need to meet deadlines with conflicting urgent priorities.
  • Ad-hoc queries and requests sometimes require urgent attention and must be managed alongside the routine workload of the job role.

Skills, Competence, Experience Required

  • Part qualified or qualified by experience, with a good understanding of key accounting principles fundamental to the duties and responsibilities of the role
  • A minimum of three years working in a finance role, including the calculation and preparation of the journals required to produce monthly management accounts, balance sheet reconciliations and ultimately the full production of monthly management accounts
  • Ability to work independently but also cooperatively, without close supervision.
  • Good interpersonal and communication skills, with ability to communicate effectively with stakeholders at a variety of levels, orally and in writing.
  • Ability to prioritise own work, and to work accurately under pressure to meet conflicting deadlines.
  • Be able to relate duties and deliverables of the role to a wider business context.
  • IT literate, specifically in relation to finance systems and their efficient use
