Job Description

We're looking for a Marketing Procurement & Vendor Operations Specialist to own everything vendor, contract and purchase order related across our global marketing function - and to automate as much of it as possible.

You'll work closely with marketing leads and cross functional partners in Finance, Legal & Security to make sure every vendor we work with is onboarded quickly, contracted properly and paid on time, at global scale.

Key Responsibilities

  • Own vendor onboarding, from initial request through contracting to a raised purchase order, with clear SLAs agreed with each function involved.
  • Automate purchase order creation wherever possible, and raise all marketing POs coded correctly to cost centre, budget and period.
  • Administer and centralise all NDAs, DPAs and commercial contracts for marketing, initiating, tracking, chasing, routing for signature and filing.
  • Maintain a global audit of engaged vendors.
  • Work with the partnerships team to create accurate MDF request and reporting processes.
  • Ensure every step and approval is documented and auditable, with the correct approver captured before any contract goes to signature.
  • Ensure monthly marketing budget is captured & tracked.
  • Receipt invoices and resolve PO and invoice queries directly with Accounts Payable and vendors, keeping month end close clean.
  • Manage software and subscription renewals, starting conversations early enough to have leverage, and surfacing duplicate or unused tooling.
  • Act as the connective point between Marketing and Finance, Legal, Security and Procurement, taking that burden off marketing leads.
  • Build automation into all of the above: intake, approval routing, reminders, register updates and reporting and report on cycle time, contract coverage and the renewal pipeline.

About You

  • 3 - 5 years in procurement, vendor management, marketing operations, legal operations or finance operations, ideally in B2B tech or another high growth environment.
  • A demonstrable habit of automating your own work: workflow tools (Zapier, Make, Power Automate, n8n), Apps Script, Python or SQL, API integrations, or Airtable and Notion databases with real logic in them. Side projects count in full.
  • Highly organised across many parallel threads, with a strong instinct for documentation and audit trails.
  • Experience working across multiple regions, time zones and legal entities.
  • A systems mindset with a bias toward clarity, efficiency, and measurable impact.
  • We'd love you to tell us about something you've built or automated as part of your application. A hobby project is just as interesting to us as a work one.
