Marketing & Retail Coordinator
PURPOSE OF THE ROLE
Aapa was built on one simple belief: you shouldn't have to choose between a drink that tastes great and one that's actually good for you. Not better for you. Good for you. We're a challenger brand, and we're going nationwide (to start with!).
You'll be joining a small team working alongside our Marketing Director and Sales Director, right at the heart of getting Aapa onto shelves nationally for the first time. You'll help keep everything moving across sales, marketing and the supply chain - coordinating agencies, tracking orders and launches, managing stock levels, linking closely with our manufacturing partners and keeping the details in order, so the team can focus on making Aapa impossible to ignore.

KEY RESPONSIBILITIES
Marketing Support
- Coordinate and track deliverables across external agencies/freelancers (creative, web, PR & influencer, paid media, sampling/activation), chasing timelines, collating feedback, logging approvals
- Maintain and update the Marketing project management tracker, flagging slippage or clashes
- Manage the shared asset library (final artwork, brand assets, product shots) and ensure version control
- Support with scheduling meetings, calls and agency check-ins
- Assist with raising POs, processing agency invoices and tracking budget spend against the marketing budget
- Support event/sampling logistics (bookings, stock coordination, kit dispatch, RSVPs)
- Basic proofreading/formatting of decks, one-pagers and retailer-facing documents

Retail Support
- Process orders for 3 nationwide retailer accounts; using Web-EDI and other online tools to make sure we help our logistic and manufacturing partners to produce and ship stock wherever it needs to go
- Maintain retailer account trackers (listings, promotional calendars, key dates/deadlines)
- Support with preparing retailer meeting packs and follow-up actions
- Coordinate sample/stock requests and dispatch for retailer meetings and trade shows
- Log and chase purchase orders, delivery schedules, and compliance paperwork with retail partners
- Assist with data entry/updates into any sales reporting or CRM tools
- Support trade show/event logistics (registration, stock, materials)
- Support the coordination of our online sales platform, from order processing through to direct-to-customer shipping.

General
- Diary management and meeting coordination for Marketing Director and Sales Director where needed
- Ad hoc research tasks (competitor activity, venue/supplier sourcing, pricing comparisons)
- General administrative support as workload dictates across both functions
WHO WE'RE LOOKING FOR
You'll need to:
- Be properly organised! The kind of person who has a system for everything and actually uses it
- Know your way around Excel/Google Sheets without breaking a sweat
- Write clearly and confidently, whether that's chasing an agency or emailing a retail buyer
- Get stuck in without needing to be told twice. We move fast and things change
- Be someone we can trust completely, and bring genuine drive and hunger to help us succeed
Bonus points if you've:
- Experience in FMCG, retail, or a startup that moves at Aapa speed
- Used tools like Asana, Monday.com, or a CRM to keep things on track
