Reports to: Marketing Manager

Salary: £31,000

Role purpose

The marketing and sales assistant will join the PPP marketing and operations team, to support the marketing and delegate targeting for PPP’s in-person events.

Reporting to the Marketing Manager but also working closely with the Partnerships Manager responsible for delegate sales, the postholder will help write email campaigns, phone target delegates to encourage them to register or attend 1:1 meetings, organise delegate meeting schedules, carry out research for new target delegates; and provide on-the-day event support.

This role would suit a candidate with excellent organisational and prioritisation skills, confidence in making sales phone calls, good writing skills, ability to remain calm under pressure (particularly during in-person events), and willingness to work across numerous projects simultaneously.

Key responsibilities

Delegate Marketing Campaigns

Working with the Marketing Manager to:

  • Use the CRM (Zoho) to draft, schedule and send campaign emails
  • Track open rates, clicks, conversions and profile data
  • Use the company AI processes to improve event marketing messaging to target segments
  • Track deadlines on the main marketing timelines across PPP events
  • Provide ad-hoc support to create social media posts about new speakers, sponsors or topics, targeting delegates
  • Organise email campaign templates and folders

Delegate acquisition & 1:1 meetings at conferences

Working with the Partnerships Manager to:

  • Research and identify prospective delegates that match the target audience for each event
  • Contact potential delegates via telephone, email, and LinkedIn to promote event attendance
  • Update Zoho with contact activity
  • Follow up on enquiries and ensure the delegate registration process is completed
  • Coordinate 1:1 meetings between delegates, vendors, sponsors, and partners before each event
  • Collect meeting preferences and availability from participants
  • Build and manage meeting schedules, ensuring all appointments are accurately arranged
  • Liaise with sponsors, exhibitors, and delegates to confirm meeting details and resolve scheduling conflicts

Event administration: round tables (online & in person) & conferences

Working with wider PPP teams to:

  • Co-ordinate target invitees for round tables, track acceptances, organise diary and event logistics for those attending
  • Ensure post event attendee lists are uploaded to Zoho
  • Support pre-event planning and administrative tasks for conferences
  • Attend conferences to help with onsite event delivery, including delegate registration and 1:1 meeting management

Skills and experience

Essential

Candidates must have experience that can demonstrate:

  • strong organisational and time management skills
  • clear written communication style
  • familiarity in using Excel and LinkedIn
  • confidence in making phone calls and an understanding of how to build professional relationships (e.g., in a sales, events, or customer-facing role)
  • ability to promote and help run events

Desirable

  • some previous experience in delegate sales, B2B sales, or event sales
  • experience with event management software or CRM system (e.g., Zoho)
  • knowledge of design software (e.g., Canva)
  • interest in B2B marketing in the health, social care or life sciences sectors

Key measures of success

Success in the role will include:

  • Clearly drafted emails promoting PPP events, which grow registrations
  • Effective research combined with delegate emails and calls, to hit the team targets for actual delegate attendance
  • Seamless organisation of round tables and 1:1 meetings at conferences, hitting sponsor delivery expectations
