Matching Operations Coordinator
This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Matching Operations Coordinator based in United Kingdom.
As a Matching Operations Coordinator, you’ll play a central role in keeping communication and operations running smoothly between talented professionals and internal teams. You’ll manage relationships across assigned accounts, ensuring information flows clearly, promptly, and effectively. The role combines stakeholder communication, account coordination, administrative execution, and continuous process improvement. You’ll proactively monitor project progress, identify potential issues, and help create opportunities for stronger client and talent relationships. Success requires excellent organization, sound judgment, attention to detail, and the ability to work independently. In a fast-paced, fully remote environment, you’ll have meaningful ownership while collaborating with teams across different functions and geographies.
Accountabilities
- Act as the primary communication point between professionals working on client engagements and internal stakeholders, ensuring clear, timely, and effective information sharing.
- Independently manage communication across multiple channels, with a strong emphasis on professional written communication.
- Maintain regular contact with professionals across assigned accounts to understand project status, identify potential challenges, and proactively address issues before they escalate.
- Identify and pursue relevant upsell and cross-sell opportunities while maintaining strong and professional relationships.
- Manage account-related administrative tasks and operational actions according to established processes and guidelines.
- Maintain proactive communication with colleagues through tools such as Slack and Zoom during designated working hours.
- Organize, update, and maintain process documentation and guidelines so that information remains accurate and easily accessible.
- Support onboarding activities for new team members and help them become familiar with tools, processes, and workflows.
- Contribute to strategic and ad-hoc projects that support operational efficiency and team objectives.
- Analyze operational data where relevant, identify trends, and translate findings into actionable improvements.
- Proactively identify opportunities to improve processes, increase efficiency, and strengthen the overall matching and operations workflow.
- Gradually take greater ownership of operational strategies and become a subject-matter expert within the function.

Requirements
- Bachelor’s degree or equivalent higher-education qualification.
- 2–3+ years of experience in coordination, operations support, customer support, account management, or a related role.
- Excellent written and verbal communication skills, with the ability to maintain clear and professional communication with diverse stakeholders.
- Strong stakeholder management skills and the ability to prevent communication gaps, misunderstandings, and operational friction.
- Excellent organizational skills and strong attention to detail, with the ability to prioritize tasks and execute efficiently.
- Self-starter mindset with a high level of accountability and the ability to independently manage workflows, tasks, and assigned accounts.
- Strong professional judgment and the ability to make sound decisions independently while working within established processes and guidelines.
- Ability to follow defined processes accurately and consistently, including making appropriate decisions when information is incomplete.
- Adaptability and willingness to learn quickly as processes, priorities, and business needs evolve.
- Collaborative mindset, with a willingness to share knowledge, support colleagues, and learn from teammates.
- Proficiency with Google Sheets and Google Docs for data processing, organization, analysis, and presentation.
- Data-driven mindset and the ability to analyze operational information, identify trends, and turn findings into practical actions is a plus.
- Continuous-improvement mindset, with the initiative to identify inefficiencies and recommend better ways of working.
- Project management experience or a technical background is advantageous.
- Ability to thrive in a fast-paced, rapidly changing environment while managing multiple deadlines, priorities, and stakeholder relationships.
- High level of ownership and professionalism, with the ability to operate effectively as an individual contributor rather than relying on others to direct your work.
- Strong English communication skills, as resumes and day-to-day professional communication must be conducted in English.
