Role Description

Gamit Ltd is an established aviation consultancy based near Stansted Airport. For around 30 years, we have supported corporate operators, airlines and maintenance organisations around the world.

We are now looking for a motivated, organised and customer-focused Materials Administrator to join our Materials & Logistics team.

As a Materials Administrator, you will support the sale and supply of aircraft spare parts to customers around the world.

You will respond to customer enquiries, prepare and follow up quotations, process different types of orders and help coordinate the delivery of aircraft parts. You will communicate regularly with customers, suppliers, shipping agents and colleagues across the wider AMAC Group.

Previous aviation experience would be beneficial, but it is not essential, as on-the-job training will be provided. This role would suit someone with experience in administration, customer service, order processing, purchasing or logistics who would like to develop a career within the aviation industry.

What you’ll be doing

  • Act as a point of contact for customers interested in purchasing aircraft spare parts from AMAC Group stock.
  • Respond professionally to customer enquiries received by telephone and email.
  • Manage customer requests for quotation allocated to you, aiming to respond within 36 hours or as soon as reasonably possible.
  • Prepare quotations and help provide customers with the best available service and solution for their requirements.
  • Review and follow up outstanding customer quotations in line with departmental targets.
  • Process purchase requests, purchase orders, sales orders, exchange orders and repair orders accurately and in accordance with company procedures.
  • Monitor and expedite open purchase and repair orders to help achieve on-time delivery.
  • Keep customers updated on the progress of their enquiries and orders.
  • Coordinate with shipping agents when required to support the timely delivery of aircraft parts.
  • Build and maintain strong working relationships with customers, suppliers and other stakeholders.
  • Communicate effectively with customers and contacts around the world, including those who speak English as a second language.
  • Liaise with the Accounts team regarding invoicing queries and follow up outstanding matters when required.
  • Follow up with customers regarding satisfaction surveys when requested.
  • Understand and comply with relevant export-control requirements.
  • Work closely with AMAC Basel Stores, the customer support team and Gamit’s Finance and Administration departments.
  • Provide support and cover for colleagues within the Materials & Logistics department when operational priorities require it.
  • Support the Materials Manager and Assistant Materials Manager when requested and appropriately authorised.
  • Work within Gamit’s ISO 9001 and ISO/IEC 27001 management systems and contribute to their continual improvement.
  • Follow all relevant Gamit policies, processes and procedures.
  • Undertake other reasonable duties requested by management.

What we’re looking for

  • A confident and professional telephone and email manner.
  • Strong customer-service skills and a genuine desire to find the right solution for each customer.
  • Good organisational skills and the ability to manage several enquiries and orders at the same time.
  • Strong attention to detail when preparing quotations, processing orders and maintaining records.
  • A motivated, flexible and proactive approach to work.
  • The confidence to follow up quotations and communicate persuasively with customers.
  • The ability to work effectively as part of a team and support colleagues when priorities change.
  • Good written and spoken English.
  • Confidence communicating with customers and suppliers from different countries and cultural backgrounds.
  • Good numerical skills and confidence working with different currencies and currency conversions.
  • GCSE English and Maths at grade C/4 or above, or equivalent qualifications.
  • A full driving licence and valid passport.

Useful, but not essential

  • Previous experience in administration, customer service, sales administration, purchasing, logistics or order processing.
  • Experience within aviation, aerospace or the aircraft-parts industry.
  • Experience preparing quotations, processing sales orders or following up customer enquiries.
  • An aviation- or aerospace-related qualification.
  • Familiarity with export-control requirements.
  • Awareness of ISO 9001 and ISO/IEC 27001 management systems.
