Role Purpose

The Medical Administrator provides high quality administrative and coordination support for the Club’s medical operations and event medical provision. The role supports effective planning, record keeping, scheduling, communication and governance across medical activity, working with internal teams and external providers in a fast-paced elite sport and major-event environment.

This is an administrative and coordination role and does not directly carry clinical responsibility.

Key Responsibilities

The post holder will:

  • Provide day-to-day administrative and coordination support for the Club’s medical operations and event medical provision.
  • Coordinate medical rotas, availability, scheduling and associated administrative arrangements for fixtures, events and other operational requirements.
  • Maintain accurate records, documentation, contact information and administrative systems, ensuring information is appropriately stored and managed.
  • Support the onboarding and administration of medical personnel, including relevant documentation, checks, accreditation and system access.
  • Coordinate administrative requirements with internal departments, external medical providers, emergency services and other relevant partners.
  • Support the administration of medical equipment, consumables, AED records and associated inventory, escalating requirements to the appropriate medical lead.
  • Assist with invoices, purchase orders, budget administration and reconciliation relating to medical services.
  • Support the collation of information for audits, reviews, incident records and governance requirements.
  • Assist with the administration of training, briefings, exercises and event-day medical arrangements.
  • Identify and escalate administrative or operational issues appropriately.
  • Provide effective administrative support on event days as part of the contracted working pattern, including coordination, communication and record management.
  • Contribute to continuous improvement of medical administration processes and systems.

Person Specification

Qualifications / Training

  • Essential: Relevant administrative qualification or equivalent practical experience within medical, healthcare, event, sport or another regulated environment.
  • Essential: Experience providing administrative and coordination support within a busy, fast-paced environment.
  • Essential: Good working knowledge of confidentiality, data protection and the appropriate handling of sensitive medical and personal information.
  • Essential: Strong IT capability, including Microsoft Office, AI and systems used for record keeping, scheduling and administration.
  • Desirable: Previous experience within a medical, healthcare, pre-hospital care, occupational health or event medical environment.
  • Desirable: Experience within elite sport, football, a major venue or event environment.
  • Desirable: Awareness of safeguarding, event safety and relevant medical governance requirements.
  • A clinical qualification or professional clinical registration is not required for this role.

Skills & Experience

  • Previous experience in a medical administrator, healthcare administrator, medical coordinator or comparable administrative role is advantageous.
  • Strong administration, organisation and coordination skills, with excellent attention to detail.
  • Experience managing diaries, rotas, records, documentation and multiple competing priorities.
  • Confident working with a range of internal and external stakeholders.
  • Able to work independently within clearly defined responsibilities while recognising when matters require escalation.
  • Comfortable handling confidential and sensitive information with discretion.
  • Able to remain organised and effective within a fast-paced, event-driven environment.
  • Experience in football, elite sport, healthcare or major events is desirable rather than essential.
