Ontime Reports Ltd are a specialist provider of business and legal support services to Express Solicitors. Our highly skilled team obtain medical records, expert reports and arrange treatments, investigations and surgeries for our personal injury and clinical negligence clients. Our specialist team make a real difference to injured peoples’ lives, through our passion for client care.
The Role
This will be a varied job role which largely surrounds case related administration, including requesting medical records, processing medical records, calling GP’s & Hospitals for updates on outstanding records requests, combining records, calling medical experts for updates on outstanding reports and general administration duties.

Responsibilities
- Requesting Medical Records from GP’s Hospitals, Ambulance Service and Dental Practices
- Calling Records Providers for updates to ensure records are obtained in a timely manner
- Quality Checking Medical Records Received
- Processing Records Received
- Producing an invoice for Records Work
- Combining & Extracting Records
- Removing Passwords from Encrypted documents
- Monitoring the records mailbox
- Assisting on task lists
- Other ad hoc duties as required
Person Specification
- GCSE Maths and English at Grade C or above, or equivalent
- Administrative experience
- Knowledge of Microsoft Office packages including Word and Outlook
- Strong IT skills, knowledge of Win Zip, 7 Zip, Egress Switch, Micro Dicom, Image Exchange Portal would be an advantage.
- Excellent standard of written and spoken English
- Ability to always maintain client confidentiality
- Ability to deal with volumes of work and manage conflicting priorities
- High levels of accuracy and attention to detail
- Experience of dealing with customers on the telephone
- NVQs or qualifications in business administration is a distinct advantage
- Desirable to have a medical or legal background in Admin.

Salary & Hours
Salary of £22,902.10 - £26,722.54, dependent on age.
Our standard working hours are 8:30am to 5:30pm Monday-Thursday and 8:30am to 5pm Friday.
