Medical Director Job Description

Time commitment

8–10 hours per month, including governance, stock ordering and medical queries

Works closely with

Clinical Advisor, Clinic Manager and Registered Manager, prescribing clinicians and governance group

Working arrangement

Primarily remote, with clinic attendance when agreed

Role Purpose

To provide senior medical advice and proportionate clinical oversight for a private healthcare clinic. The Medical Director is responsible for ordering doctors’ stock, attending the monthly governance meeting and being available to the clinic team for medical queries within the agreed working arrangements.

Doctors’ Stock and Medicines

  • Review stock requirements with the Clinic Manager and take responsibility for placing or authorising doctors’ stock orders through approved suppliers, within the agreed budget and the doctor’s professional and legal authority.
  • Confirm the intended use, appropriate products and quantities before ordering. Complete and retain the necessary requisitions, authorisations and order records.
  • Agree stock levels and replenishment arrangements with the Clinic Manager. Provide medical advice on shortages, substitutions, recalls and medicines safety concerns.
  • Support safe medicines procedures covering receipt, storage, expiry checks, stock reconciliation and disposal. The clinic team maintains routine stock records and carries out daily checks, with concerns escalated to the Medical Director.
  • Where additional safeguards apply to a medicine, confirm the relevant ordering and handling arrangements before supply. Stock ordering does not replace an individual patient assessment or prescribing decision.

Monthly Clinical Governance

  • Attend one governance meeting each month and review relevant papers in advance.
  • Contribute medical advice on incidents, complaints, medicines management, clinical audit and risks relevant to the clinic’s services.
  • Recommend proportionate improvements to clinical practice and protocols. Complete agreed actions within the role’s scope and escalate significant concerns promptly to the Appointed Person and Registered Manager.

Medical Advice and Availability

  • Be an accessible point of contact for the Clinic Manager and clinical team for medical queries, including treatment suitability, prescribing concerns, abnormal results and escalation or referral decisions within the doctor’s competence.
  • Agree contact methods, availability windows and response arrangements before starting. Include time spent responding to queries within the 8–10 monthly hours and notify the clinic when additional time or cover is needed.
  • Give patient-specific advice only when there is sufficient clinical information. Arrange an appropriate assessment or referral where remote advice is insufficient and record material advice and decisions in the agreed clinical record.
  • Work within personal competence and the clinic’s agreed service scope. Seek specialist advice where appropriate and raise concerns when safe care cannot be provided.

Professional Responsibilities

  • Maintain GMC registration with a licence to practise, appropriate indemnity or insurance, continuing professional development, appraisal and revalidation arrangements.
  • Maintain confidentiality and accurate records, disclose conflicts of interest and follow applicable professional standards and clinic policies.
  • Be accountable for personal medical advice, decisions, orders and any prescribing undertaken. The role does not automatically include the statutory Registered Manager or Nominated Individual appointment, or routine patient consultations.

Person Specification

Essential

  • A registered medical practitioner with a current GMC licence to practise and experience relevant to the clinic’s services.
  • Sound judgement in medicines management, safe prescribing and clinical risk assessment, supported by experience of clinical governance.
  • Clear communication, reliable availability within the agreed arrangements and the ability to give practical advice to a multidisciplinary team.

Desirable

  • Experience in private or independent healthcare and in medical leadership, audit or service improvement.

Workload and Review

  • Plan the 8–10 monthly hours jointly with the Clinic Manager, allowing for meeting preparation, attendance, stock ordering, queries and follow-up actions.
  • Review workload and availability after the first three months and when service activity changes. Agree extra hours in advance where practicable, while escalating immediate safety concerns without delay.
