Role Description
Job Description and Person Specification
Reports: Managing Director
Location: Whetstone, North London — fully onsite
Hours: Part-time initially; intended full-time from October 2026
Progression: Administrative Supervisor, subject to performance and business need
Role purpose
To provide effective administrative and operational coordination across TGQ Medical’s occupational health, private GP, aesthetics, and associated clinical services. The postholder will ensure tasks are owned and completed, records remain accurate, and patients, clinicians, and corporate clients receive a professional and timely service.
Key responsibilities
- Manage calls, emails, referrals, shared inboxes, and enquiries; book, amend, and confirm appointments and provide the correct documentation.
- Maintain accurate and confidential electronic records, correspondence, forms, invoices, trackers, audit trails, and filing systems.
- Record assigned actions, deadlines, and owners; actively chase outstanding responses and escalate urgent, overdue, or unresolved matters.
- Coordinate occupational health referrals, pre-employment checks, health surveillance, vaccinations, recalls, reports, and onsite clinics within agreed service timescales.
- Support private GP, travel health, and aesthetics services, including appointments, consent information, payments, stock, room readiness, and patient follow-up.
- Coordinate clinician and staff rotas, availability, leave, clinic coverage, onsite access, travel, and accommodation; identify and escalate service gaps.
- Collect and analyze operational data; prepare spreadsheets, dashboards, monthly management information, reports, and presentations for management or clients.
- Support meetings, projects, new-client mobilization, suppliers, standard operating procedures, audits, complaints, and CQC, SEQOHS, GDPR, and Cyber Essentials requirements.
- Provide reliable operational support to the Managing Director and suggest practical improvements, automation, and more efficient workflows.

Person specification
Essential
- Previous administration or coordination experience, with strong organization, accuracy, and professional written and verbal communication.
- Ability to manage competing priorities, follow tasks through to completion, use initiative, and escalate appropriately.
- Competence in Outlook, Word, Excel, PowerPoint, and Teams or similar systems, including preparing reports and presentations.
- Understanding of confidentiality and sensitive information; willingness to work fully onsite in Whetstone.

Desirable
- Experience in healthcare, occupational health, aesthetics, or another regulated setting; familiarity with electronic medical or appointment systems.
- Experience coordinating rotas, supporting managers, analyzing data, or preparing management information.
Development and progression
The postholder will receive role-specific training and may, if interested and suitable, be offered supervised phlebotomy or occupational health technician training following formal competency assessment. Clinical training is optional.
Progression to Administrative Supervisor is not automatic. It will depend on successful probation, consistently strong performance, reliable task completion, leadership potential, effective rota and operational coordination, satisfactory conduct and attendance, and TGQ Medical’s business requirements. Any change in title, responsibilities, hours, or salary will be confirmed in writing.
Performance measures: accuracy, responsiveness, completion of actions, communication, compliance, rota and operational coordination, management information, and contribution to service improvement.
