About Chelsea Surgical Partners

Chelsea Surgical Partners is a London-based private medical practice management company. We run the business side of private practice for a group of consultant surgeons and specialists, from bookings and patient administration to billing and collections, so they can focus on their patients.

We are growing and building our team. Our operations run on bespoke practice management software designed around our group, and our PAs are the main point of contact between our consultants, their patients and the wider team.

The role

You will look after the day-to-day running of a small group of orthopaedic consultants' private practices, from managing their diaries and clinics to handling patient queries, insurer pre-authorisations and billing. You will work as part of a pod of PAs supporting consultants in the same specialty. The pod shares knowledge, covers each other's consultants during leave and busy periods, and works closely with our operations and finance teams.

Key responsibilities

Diary and clinic management

  • Manage consultants’ diaries, including clinic sessions, appointments and changes at short notice
  • Prepare clinic lists and make sure patient details, referrals and results are ready before each clinic
  • Book appointments and keep patient records up to date on our practice management system
  • Liaise with hospitals and clinic sites on clinic arrangements

Patient queries

  • Act as the first point of contact for patients by phone and email, responding promptly and with care
  • Handle queries about appointments, fees and next steps, and pass clinical questions to the consultant
  • Keep patients informed throughout their journey, from first appointment to follow-up
  • Edit and share letters

Billing

  • Raise accurate invoices for consultant activity promptly after each appointment or procedure
  • Take payments from self-pay patients
  • Remittances, uplifts, any issues handled by finance team

Working in the pod

  • Share workload and cover colleagues’ consultants during annual leave and busy periods
  • Follow agreed processes so consultants and patients receive a consistent service across the pod
  • Help improve and standardise PA processes as the team grows

Skills and experience

Essential

  • Proven experience as a medical secretary or PA, ideally in private healthcare
  • Experience managing consultant diaries and clinics
  • Working knowledge of medical terminology
  • Confident IT skills and quick to pick up new systems
  • Excellent organisation and attention to detail, able to manage competing priorities
  • Clear, warm and professional communication with patients, consultants and insurers
  • A genuine team player, happy to share workload and support colleagues

Desirable

  • Experience supporting orthopaedic consultants
  • Familiarity with private patient billing, fee schedules and procedure codes
