Lead a High-Performing Medical Administration Team
We are looking for an experienced and motivated Medical Secretary Lead to join London Medical. This is an exciting opportunity for a proven healthcare administration professional with leadership experience to oversee a team of Medical Secretaries and Clinic Coordinators while ensuring an exceptional service for patients and consultants.
Reporting to the Operations Manager, you will play a key role in driving team performance, engagement, operational excellence, and customer satisfaction, while supporting the delivery of a seamless private healthcare experience.
About the Role
As Medical Secretary Lead, you will be responsible for the day-to-day management of the Medical Secretary and Clinic Coordinator teams. You will provide visible leadership, coaching, and support to ensure high standards of service, productivity, and patient care are consistently achieved. Alongside your leadership responsibilities, you will maintain effective consultant support services and contribute to continuous improvement initiatives across the clinic.
Key Responsibilities
Team Leadership & Management
- Lead, supervise and support a team of Medical Secretaries and Clinic Coordinators.
- Manage workload allocation and performance objectives.
- Conduct regular 1-2-1 meetings and performance reviews.
- Monitor team KPIs and provide ongoing feedback and coaching.
- Manage annual leave, sickness absence, and resource planning.
- Support recruitment, onboarding, induction, and training activities.
- Foster a positive, engaged, and customer-focused team culture.

Operational Excellence
- Ensure clinic preparation activities are completed accurately and efficiently.
- Oversee clinic scheduling and consultant allocations, resolving any conflicts proactively.
- Produce and analyse monthly operational and performance statistics.
- Develop, review, and maintain Standard Operating Procedures (SOPs).
- Identify opportunities to improve processes and enhance service delivery.
- Ensure mandatory training and compliance requirements are completed.
Consultant & Patient Support
- Build and maintain strong professional relationships with consultants and stakeholders.
- Deliver a high-quality secretarial service to consultant private practices.
- Ensure patients receive an efficient, professional, and outstanding customer experience.
- Support the clinic's focus on patient satisfaction and service excellence.
About You
You will be a confident and approachable leader with strong healthcare administration experience and a passion for delivering exceptional service.
Essential Experience
- Previous experience leading or supervising a team.
- Experience working within a hospital or healthcare environment.
- Experience supporting consultants and managing busy private practices.
- Strong knowledge and practical use of medical terminology.
- Proven customer service excellence within a healthcare setting.
- Healthcare administration experience.

Desirable Experience
- Private healthcare or private hospital experience.
- AMSPAR qualification or equivalent Medical Secretarial certification.
