Working Hours: Shift patterns between 08:00-20:00 weekdays, plus every other weekend

Overview
Our Medical Secretary will be responsible for delivering high-quality secretarial and administrative support to the clinical team and our patients.
You will act as a key point of contact for both patients and clinicians to ensure efficient coordination of patient pathways and contribute to the smooth operation of our synchronous (video based consultations) clinical services. We are looking for driven, proactive individuals with good problem solving skills to make up the operational backbone of these services. We have some exciting growth ambitions for this part of our business so it is a great time to join this team.
Key Responsibilities
- Type patient letters, discharge summaries and general correspondence, as dictated by the clinical team.
- Manage the diary of clinicians, including appointments and meeting coordination.
- Open and prioritise all incoming mail and take appropriate action.
- Respond efficiently to telephone calls and emails from patients, carers, and healthcare professionals, referring to relevant departments or agencies when necessary.
- Ensure all investigation results are available to clinical staff, signed, acted upon, and filed correctly.
- Maintain and organise medical case notes appropriately.
- Liaise with internal and external teams as needed to coordinate a smooth patient journey.
- Complete back of house admin activities to keep the operations running and contribute to continually improving our processes to drive operational excellence.
- Support colleagues by offering guidance, advice, and assisting with the training of new staff.
- Adhere to confidentiality and data protection policies regarding all patient information.

What Experience You’ll Need To Have
- Highly desirable to hold experience in a medical secretary role.
- Experience managing diaries and handling medical correspondence.
- Experience working with the public or patients in a professional setting.
- Essential to have previous experience within a healthcare or other highly regulated environment.
- Familiarity with operating complex clinical systems.
