Medical Support Services Delivery Coordinator - 24 Month FTC

Programme: Logistics Commodities and Services Transformation
Location: Bristol / Hybrid

Role Overview:

We are seeking a proactive and highly organised Medical Delivery Coordinator to provide coordination, administration and stakeholder support across Medical Support Services.

The role will support meetings, workshops, industry engagement events, team activities and day-to-day business operations by ensuring arrangements are well planned, records are maintained and stakeholders have the information they need.

You will be comfortable working across multiple teams, managing logistics, maintaining key trackers and stepping up to support or facilitate workshops when required.

Duties and Responsibilities:

  • Coordinate meetings, workshops, team events and stakeholder sessions, including booking rooms, arranging lunches, preparing materials and supporting attendance
  • Own and maintain the industry engagement tracker, ensuring event details, stakeholder attendance, bookings and follow-up information are accurate and up to date
  • Liaise with internal teams, external stakeholders and industry representatives to coordinate attendance, logistics and communications for engagement events
  • Maintain the resource tracker, ensuring information is current, accurate and available to support team planning
  • Maintain the recognition and hospitality tracker, supporting accurate records and appropriate governance of recognition and hospitality activity
  • Arrange and support team-building activities, including planning, scheduling, bookings, communications and practical logistics
  • Prepare agendas, meeting packs, notes and action summaries where required to support effective meetings and workshops
  • Support or facilitate workshops when required, helping structure sessions, encourage participation and capture clear outputs
  • Provide general coordination and administrative support across the team, helping ensure activities are well organised and delivered smoothly
  • Contribute to improved ways of working by keeping trackers, records and coordination processes clear, consistent and easy to use

Skills Required:

  • Strong organisational and coordination skills, with the ability to manage several activities, bookings and deadlines at the same time
  • Excellent communication skills, with confidence engaging with internal teams, external stakeholders and industry representatives
  • Good attention to detail and commitment to maintaining accurate trackers, records and meeting information
  • Experience arranging meetings, workshops or events, including room bookings, catering, materials and attendee coordination
  • Confidence using Microsoft Office tools, particularly Outlook, Excel, Word and PowerPoint
  • Ability to work collaboratively, follow up information and keep stakeholders informed
  • Proactive, flexible and willing to step up to support or facilitate workshops and team activities when required
  • Discretion and professionalism when handling stakeholder information, hospitality records and business-sensitive material

Skills Desired:

  • Project fundamentals or awareness of project coordination principles, including planning, scheduling, action follow-up and stakeholder communication
  • Experience supporting or facilitating workshops, team events, engagement sessions or lessons learned activities
  • Experience maintaining trackers, event schedules, attendance records or resource information
  • Experience working in defence, healthcare, logistics, supply chain, procurement, commercial or regulated environments
  • Experience using Microsoft Lists, SharePoint or other collaborative tools to manage records, bookings or team information

Clearance Requirements:

  • BPSS pre-screening required to start
  • SC required for the role
  • The successful candidate must be eligible to obtain and maintain the appropriate level of UK security clearance for the role

Pay Range:

£32,600.00-£38,400.00
