Under the supervision of the Operations Lead, the Meetings & Events Assistant plays a key role in supporting meeting room and event coordinators, as well as guest services ambassadors, in overall event and hospitality coordination. This role demands strong attention to detail, proactive problem-solving, and the ability to anticipate and exceed the needs of hosts and guests. By upholding high standards of hospitality and operational efficiency, the Meetings & Events Assistant helps create a welcoming and memorable experience for our clients.
Type of Contract: Full-time, 6-months fixed-term
Hours: 40 per week (Monday-Friday, on a shift rota basis between 7 AM – 7 PM)
Main Responsibilities
- Coordinate event requests and liaise with relevant teams and vendors.
- Support event setup, room resets, deliveries and collections.
- Keep event trackers and records up to date.
- Welcome and register guests and vendors.
- Provide a friendly and professional guest experience.
- Prepare event materials, including badges and signage.
- Manage cloakroom services when required.
- Support Guest Services and Meeting Room Coordinators when needed.
- Plan and deliver assigned low-impact events.
- Support stock management and regular audits.
- Work flexible office hours, including occasional early starts and late finishes.

The ideal candidate will

- Ideally have previous experience in hospitality, including administrative and operational responsibilities.
- Be comfortable working in a fast-paced environment and managing competing priorities.
- Have strong organisational and communication skills.
- Have excellent attention to detail and a commitment to high-quality service.
- Be proactive, solution-focused and committed to a great guest experience.
- Have an understanding of health and safety and security procedures.
- Be a collaborative team player with strong interpersonal skills.
- Be confident using IT systems, including G Suite or similar tools.
