Menswear Product & Merchandising Coordinator

About Olympia
Olympia International is a growing menswear design, sourcing and wholesale business. We develop and manufacture clothing across several owned and licensed brands, working with major international retailers and coordinating closely with our product teams and manufacturing partners in Bangladesh.
We are looking for a highly organised Menswear Product & Merchandising Coordinator to help manage product information, samples, meetings and critical spreadsheets across the business.
This is not a general administrative position. It requires someone who understands menswear products, is highly competent with spreadsheets and enjoys keeping complex information accurate and organised.
Key responsibilities
- Attend product, sales and production meetings and produce clear, accurate meeting notes.
- Record actions, responsibilities and deadlines, and follow up with team members until actions are completed.
- Create and maintain professional line sheets for different brands and seasonal collections.
- Maintain range plans, sample trackers, order sheets, pricing files and critical-path documents.
- Track development samples, fit samples, lab dips, print strike-offs, PP samples and shipping samples.
- Request samples and information from our Bangladesh team and monitor courier tracking and delivery.
- Organise physical samples so they can be located and reviewed easily.
- Keep style information consistent across line sheets, tech packs, internal systems, purchase orders and spreadsheets.
- Identify missing information, errors, duplicates and inconsistencies.
- Prepare product information, reports and presentations for Brand Leads and customer meetings.
- Support showroom and seasonal range preparation.
- Coordinate with Brand Leads, designers, product developers, merchandisers and commercial teams in London and Bangladesh.

Spreadsheet responsibilities
The successful candidate must be confident using Excel or Google Sheets and should understand:
- XLOOKUP and VLOOKUP
- Pivot tables
- SUMIF/SUMIFS and COUNTIF/COUNTIFS
- Filters, sorting and data validation
- Conditional formatting
- Identifying duplicates and missing data
- Linking information between different worksheets
- Creating clear summaries, reports and basic dashboards
About you
You will ideally have experience in one or more of the following areas:
- Menswear product development
- Fashion merchandising
- Buying administration
- Product coordination
- Wholesale fashion
- Garment production or sourcing
You should have:
- Strong knowledge of menswear products, fabrics, garment categories, washes, trims and construction.
- Excellent organisation and attention to detail.
- Strong Excel or Google Sheets skills.
- Experience creating or maintaining line sheets, range plans or sample trackers.
- The confidence to take ownership of follow-ups and chase outstanding information.
- Clear written and verbal communication.
- The ability to work across several brands and product categories without losing accuracy.
- A practical, proactive and solution-focused approach.
- The confidence to communicate with colleagues and suppliers in different countries.

A fashion-related degree may be helpful, but relevant industry experience and practical ability are more important.
