Merchandising Admin Assistant

Salary: £28,860 per year
Location: Covent Garden, London, with discretionary hybrid working

We are looking for an organised and detail-focused Merchandising Admin Assistant to join our Buying and Merchandising team.

About the role

This varied role supports the full product lifecycle - from product setup and purchase orders through to delivery tracking, sales reporting, branch merchandising, and sample management.

You will take ownership of accurate departmental administration, helping ensure product information, orders, samples, and delivery dates remain organised and up to date.

This is an excellent opportunity for someone looking to begin or develop a career in merchandising while gaining broad experience within a growing retail business.

Key responsibilities

Product setup and purchase orders

  • Raise purchase orders accurately and within agreed deadlines.
  • Process amendments to quantities, costs, delivery dates, and cancellations.
  • Set up new products and maintain accurate information across internal systems.
  • Check product details, including descriptions, sizing, colours, costs, and supplier information.
  • Maintain seasonal range plans, line lists, and order records.
  • Support barcode, label, and packaging administration.

Critical path and supplier coordination

  • Monitor the departmental critical path, highlighting upcoming deadlines and potential delays.
  • Liaise with suppliers to obtain order confirmations, samples, approvals, and production updates.
  • Track ex-factory dates, delivery schedules, and changes to agreed dates.
  • Arrange couriers and maintain sample and shipment tracking records.
  • Assist with invoice, shipping document, and customs queries.

Sales, stock, and intake reporting

  • Produce regular sales, stock, and intake reports.
  • Update weekly trading information and departmental trackers.
  • Monitor sales and stock performance, highlighting low stock, overstocks, and unusual sales movements.
  • Track incoming deliveries and maintain accurate expected intake dates.
  • Support the Merchandiser with ad hoc reporting and analysis.

Branch merchandising

  • Support the allocation of new products to stores in line with store grades and launch plans.
  • Maintain accurate store grading, ranging, and product eligibility records.
  • Monitor stock and size availability across stores, highlighting gaps and opportunities.
  • Review replenishment reports and support the timely movement of stock into branches.
  • Help ensure the correct products and stock are available for launches, promotions, and markdowns.
  • Respond to routine stock and product queries from stores, escalating wider issues where appropriate.

Samples and team support

  • Receive, organise, and maintain product samples, rails, and cupboards.
  • Prepare samples for fit sessions and record agreed actions.
  • Maintain an organised archive of approved samples, lab dips, fabric swatches, and trims.
  • Prepare information and samples for range reviews, sign-offs, and supplier meetings.
  • Take meeting notes and maintain clear action lists.

About you

You will bring:

  • Strong organisational skills and excellent attention to detail.
  • Confidence working with numbers, spreadsheets, and product data.
  • Good written and verbal communication skills.
  • The ability to manage competing priorities and meet deadlines.
  • A proactive approach and willingness to take ownership.
  • The ability to work independently and collaboratively.
  • An interest in retail, fashion, or merchandising.
  • Previous retail, administrative, or head-office experience would be helpful but is not essential.
