Merchandising Admin Assistant - Head Office
Key Responsibilities:
Stock Management
- Purchase order management – raising orders and sharing with Brands in a timely manner, ensuring PO dates accurately reflect booking dates and any potential changes.
- Maintain accurate supplier out of stock reporting across Navision and Excel to support availability reporting.
- Intake management – accurate management of the delivery schedule, ensuring delivery dates are met by brands and communicating any short shipments, late deliveries, and cancellations to the Merchandising team and wider business, understanding the impact to trade and stock availability.
- Under the guidance of the Merchandiser, ensure new line ranging and allocations are actioned accurately and in a timely manner in line with agreed launch dates.
- Assist with tester ordering and monitoring tester availability across stores and distribution centres.
- Support new product and brand launches by tracking SKU setup, stock availability, tester placement and highlighting any risks to launch dates.
- Support the management of the NPD critical path, including stock tracking, ranging, tester allocation and launch readiness.
Trading
- Produce and compile Monday trade reports, ensuring data accuracy and highlighting any anomalies or risks to the Assistant Merchandiser and wider team.
- Participate in trade and availability reporting for the category.
- Work closely with Inventory Merchandising to execute Store Recalls.
- Undertake monthly store visits to identify opportunities, risks and competitor activity.
- Ensure accurate input of markdowns and promotional activity into systems.
- Produce ad hoc financial and stock analysis as requested.
- Attend marketing and activation meetings to ensure stock is available to support launches, events, emails, pop-ups and promotional activity throughout the year.
- Maintain trackers relating to marketing launches, activations and promotional events to support trading performance.

Training And Development
- Develop an excellent working knowledge of all Merchandising systems including Qlikview, Navision and AGR.
- Develop a strong understanding of retail merchandising processes and basic retail maths.
- Build strong relationships and networks with cross-functional partners both internally and externally.
- Support in the training and onboarding of new starters where required.
- Take ownership of personal development and actively seek out training opportunities as required.
Qualifications, Knowledge and Experience
- Entry level role – previous merchandising experience is not essential, however retail or administrative experience would be advantageous.
- Exposure to a multi-brand or luxury retail environment would be beneficial.
- Strong Excel skills and good knowledge of Microsoft Office tools.
- Numerical with a strong level of mathematical competency and confidence working with data.
- Understanding of retail merchandising and trading principles would be advantageous but is not essential.
