Job Overview

The MHST Senior Administrator is responsible for the professional and efficient management of administrative services across the Brent, Harrow and Hillingdon Mental Health Support Teams (MHSTs), ensuring effective operational support to frontline services. The post holder will provide leadership and line management to administrative staff, support performance reporting, estates and facilities functions, and contribute to service improvement initiatives across multiple sites.

Main duties:

  • Lead and manage the administrative function across the Brent, Harrow and Hillingdon MHST services, ensuring efficient and effective operational delivery.
  • Provide line management, supervision, recruitment, training and development for administrative staff across the three boroughs.
  • Support clinical systems, data quality, performance reporting and information management processes.
  • Drive service improvement, governance and operational projects through the development of effective systems, processes and working practices.
  • Coordinate estates, facilities, procurement and administrative resources to ensure services operate safely, efficiently and in line with Trust requirements.

Detailed Job Description And Main Responsibilities

The MHST Senior Administrator is responsible for leading and managing the administrative function across the Brent, Harrow and Hillingdon Mental Health Support Teams (MHSTs), ensuring the delivery of efficient, high-quality and responsive administrative services that support clinical and operational objectives. The post holder will provide leadership to administrative staff, develop effective systems and processes, and ensure services operate in line with Trust policies, performance targets and governance requirements.

Main Responsibilities

  • Lead and manage the administrative function across the MHST services, ensuring effective administrative systems, processes and operational support are in place.
  • Provide line management, recruitment, induction, supervision, appraisal and ongoing development of administrative staff across the three boroughs.
  • Support clinical systems, data quality, performance reporting and information management processes, ensuring accurate data recording, reporting and compliance with information governance requirements.
  • Drive service improvement, governance and operational projects through the development of efficient systems, processes and working practices that support service delivery and performance.
  • Coordinate estates, facilities, procurement and administrative resources, ensuring services operate safely, effectively and in accordance with Trust policies and procedures.
  • Work collaboratively with clinical, operational and corporate colleagues to support the delivery of high-quality services and positive outcomes for children, young people and families.

Person specification

Education And Qualifications

Essential criteria

  • Educated to Diploma Level or NVQ Level 4
  • GCSE Maths & English (Grade C or above) or equivalent

Desirable criteria

  • Recognised qualification in the use of computer software e.g. Microsoft Word, Excel, Access, ECDL

Experience

Essential criteria

  • Demonstrable previous administrative experience, with a focus on operations, systems and financial functions
  • Extensive experience in staff supervision and management
  • Experience in leading a team or a project
  • Experience of working in NHS/SS or similar environment with day-to-day contact with both professionals and members of the general public

Desirable criteria

  • Project management or change management qualifications

Skills and Knowledge

Essential criteria

  • A comprehensive working knowledge of the use of Microsoft Office; Word, Outlook, PowerPoint, Email, Microsoft Teams, Zoom, computer literacy and word processing skills
  • Intermediate to Advanced Data entry and analysis skills, including working knowledge of using Microsoft Excel
  • Extensive experience in the use of SystmOne or other patient administration systems and acting as a Super User/Subject Matter Expert
  • Good organisational skills and prioritise work while working on own initiative
  • Able to develop and implement systems and processes to increase service efficiency

Desirable criteria

  • Additional knowledge and training relevant to the post (e.g. Fire, Health & Safety, Infection Control etc);
  • Knowledge and understanding of mental health or medical terminology
