Contract Role to Embed Microsoft 365 Copilot Utilisation

Role Purpose

The Copilot Training Contractor will design and deliver practical, role-relevant learning that enables colleagues to use Microsoft 365 Copilot confidently, safely and effectively in their day-to-day work. The role will focus on moving users beyond awareness into sustained adoption by combining training, coaching, communications, prompt guidance, champion support, and measurable feedback loops.

Key Responsibilities

  • Develop and deliver a Copilot training plan aligned to business priorities, user groups, and priority workflows.
  • Create role and capability-based training content, including live workshops, short demonstrations, prompt examples, quick reference guides, and self-serve learning resources.
  • Run hands-on sessions and drop-in clinics (in-person and virtual as needed) which help colleagues apply Copilot to real work scenarios in Outlook, Teams, Word, PowerPoint, and Excel.
  • Support the continuation of the Copilot champion network, and collaborate with the network helping champions share use cases, troubleshoot common questions, and model best practice.
  • Translate Copilot features and updates into clear, practical guidance that is easy for non-technical users to understand.
  • Promote responsible and effective use of Copilot, including guidance on data protection, human review, prompt quality, limitations, and appropriate use in line with our client's Acceptable Use of Technology policy. Collaborate with the Legal and Cyber teams as required.
  • Gather user feedback, identify adoption barriers, and recommend improvements to the training approach, communications, and support model.
  • Work closely with Transformation, HR, IT, communications, risk/compliance, and key business stakeholders to ensure a joined-up adoption approach.

Key Deliverables

  • Copilot training needs analysis and recommended rollout plan.
  • Role-based learning pathways for priority user groups.
  • Reusable workshop decks, facilitator notes, exercises, and prompt examples.
  • Delivery of training, agreed in line with the plan.
  • Quick-start guides, FAQs, and best-practice resources for colleagues.
  • Champion enablement materials and suggested rhythm of engagement.
  • Regular adoption insights, feedback themes, and recommendations for continuous improvement.
  • End-of-assignment handover pack, including materials, lessons learned, and suggested next steps.

Skills and Experience Required

  • Strong working knowledge of Microsoft 365 Copilot and how it supports productivity across Microsoft 365 apps.
  • Experience designing and delivering digital learning, technology adoption, or change enablement programmes.
  • Ability to translate technical functionality into practical business use cases and simple, accessible guidance.
  • Confident facilitation skills, with experience delivering live, virtual, and blended learning sessions.
  • Excellent stakeholder management and communication skills, with the ability to work across technical and non-technical audiences.
  • Understanding of responsible AI principles, data protection considerations, and the importance of human oversight when using AI-generated outputs.
  • Ability to create accessible learning materials, job aids, and communications at pace.
  • Comfortable working independently, managing competing priorities, and adapting content as Copilot capabilities evolve.
  • Ability to quickly gain understanding of user roles and use cases to enable tailoring of training.

Ways of Working

The contractor will work as an embedded adoption and training resource, partnering closely with internal teams to understand user needs, tailor learning to priority workflows, and build sustainable capability. The role may involve a mix of live delivery, content creation, coaching, stakeholder engagement, and measurement activity. This role is hybrid – but will need to spend a significant portion of each week on site to be able to learn our client's business and roles.

  • Increased confidence and capability in using Copilot across all teams.
  • Clear evidence of colleagues applying Copilot to relevant day-to-day workflows.
  • Positive learner feedback and improved understanding of responsible, effective Copilot use.
  • Established reusable learning resources that can be maintained after the contract ends.
  • Practical recommendations for sustaining adoption, measuring value, and identifying future training needs.
