Job Title: Mobile Dispensing Assistant

Location: Southampton

Job Type: Full-Time OR Part-Time across Monday-Saturday

Main Purpose of the Role

At Leightons Opticians, we pride ourselves on delivering unrivalled customer care and clinical excellence. As a Dispensing Assistant, you will play a critical role in ensuring that our patients receive the highest standard of service, tailored to their individual visual, lifestyle, and vocational needs. Your knowledge will guide patients in choosing the most appropriate frames, lenses, and other optical solutions, contributing to their overall well-being and satisfaction. This, combined with keeping an organised and friendly practice, is essential for this position.

Duties and Responsibilities

Customer Interaction and Support

  • Greet patients on arrival, manage appointments, and accurately record patient information using the OPTIX system.
  • Act as the primary contact for patients, addressing their needs in person or over the phone, or directing them to the appropriate team member as necessary.
  • Handle patient enquiries and complaints efficiently, ensuring they are resolved promptly.
  • Assist patients with frame selection, providing advice tailored to their needs and lifestyle, and promote our full range of products and services.
  • Manage customer orders, including contact lenses, and assist patients in the insertion, removal, and care of lenses.
  • Promote and assist in the delivery of Hearing Care services, including hearing aids and accessories.

Clinical and Administrative Support

  • Perform preliminary clinical tasks, such as visual field screening, Colorimetry, and OCT (Optical Coherence Tomography) examinations.
  • Prepare and organise all necessary paperwork to ensure that Optical and Hearing clinics run smoothly.
  • Assist with minor repairs to spectacles and ensure that all tools and equipment are well-maintained.
  • Accurately process daily banking, manage the till, and handle payments from customers.
  • Ensure that the reception area, consulting rooms, and display areas are organised, clean, and welcoming.

Providing Expert Advice

  • Provide expert advice on frame and lens selection tailored to individual needs.
  • Dispense and fit spectacle frames and lenses, ensuring that recommendations align with the patient's visual, and vocational requirements.
  • Provide advice on additional services, including low vision aids, myopia management, and other optical solutions beyond spectacles.
  • Ensure accurate spectacle measurements are taken and recorded, utilising the EDI system to maintain precision in orders.
  • Manage and progress orders to ensure timely delivery, keeping patients informed of any delays and notifying them when products are ready for collection.
  • Adjust and fit frames for customers, ensuring comfort and accuracy, and process payments and updates on the OPTIX system.

Administrative Tasks

  • Manage stock, including checking shipments against purchase orders, updating stock records, pricing goods, and maintaining displays.
  • Handle returns to suppliers, ensuring accurate tracking and credit processing.
  • Support clinic efficiency by preparing paperwork, managing patient reminders, and ensuring all administrative tasks are completed promptly.

Professionalism

  • Maintain high standards of personal appearance, timekeeping, and attendance.
  • Ensure compliance with company policies, procedures, and current legislation.
  • Support the Branch Manager in tracking and monitoring branch performance, contributing to the development and implementation of strategies within the practice to drive improvement.
  • Adhere to Leightons standards of practice, maintaining professionalism in all aspects of patient care.
  • Ensure all equipment is maintained in good working order, and that the consulting room is kept organised, clean, and tidy.
  • Maintain high standards of personal appearance, timekeeping, and attendance, respecting company property always.
