Description

We are looking for a highly organised and proactive Mobilisation Manager to join our Operations team and play a key role in the successful deployment of our mobile imaging services across the UK.

A core focus of this role is ensuring that our mobile scanners are fully prepared and ready for clinical use before deployment. medneo UK operates mobile services across two contract workstreams: staffed and unstaffed, with the Mobilisation Manager taking end-to-end ownership of the mobilisation of our unstaffed contracts.

From initial planning and preparation through to operational handover, you will coordinate each mobilisation to ensure equipment, documentation and operational requirements are in place and that all required clinical and safety standards have been met before deployment.

Where required, you will attend customer sites on the first day of deployment to conduct a formal handover and help ensure a smooth transition into live operations.

Alongside ownership of the unstaffed mobilisation workstream, you will provide wider operational support across both staffed and unstaffed services. You will also act as a key point of support for the Head of Service Delivery and Heads of Mobiles, including deputising where appropriate.

Working closely with the Head of Service Delivery, Heads of Mobiles and the wider Operations team, you will play a critical role in ensuring every scanner deployment is delivered seamlessly, from preparation and coordination through to customer handover.

What We’re Looking For

This is a hands-on role suited to someone who enjoys taking ownership, solving problems and making things happen. You will need to be comfortable working independently in the field, managing multiple priorities and responding quickly when operational requirements change.

The role involves nationwide travel, sometimes at short notice, so flexibility and the ability to work confidently away from the office are essential.

You will be expected to build strong working relationships across our operational, commercial and clinical teams, while representing medneo professionally with NHS Trusts, private healthcare customers and external service partners.

Core Competencies

  • Scheduling & Coordination: Contribute to scanner deployment schedules produced by the Service Delivery Coordinator, ensuring all logistics are strategically planned, operationally sound, and communicated in advance.
  • Deployment Readiness & Unstaffed Contract Management: Takes end-to-end ownership of all unstaffed contract mobilisations, ensuring mobile scanners are fully prepared and clinically ready ahead of each deployment. Attends customer sites on the first day of deployment to conduct formal handovers where required, and provides wider operational support to the Operations team across both staffed and unstaffed workstreams as needed.
  • Compliance & Governance: Ensure all scanner deployments and handovers meet required regulatory, safety, and quality standards.
  • Microsoft 365 Proficiency: Utilise Word, Excel, Outlook, Teams, and SharePoint to oversee schedules, manage correspondence, and review documentation effectively.
  • Site Visits & Handovers: Undertake nationwide travel to attend handovers, carry out on-site compliance checks, and support operational commissioning.

What You’ll Be Doing...

Scanner Preparation & Deployment Readiness

  • Undertake nationwide travel as required to physically prepare mobile scanners ahead of deployment, ensuring each unit is fully stocked, operationally ready, and fit for clinical use prior to leaving the depot or site.
  • Carry out stocking and destocking of scanners as required, ensuring all necessary clinical consumables, equipment, and materials are present and accounted for at each stage of the deployment lifecycle.
  • Ensure all required compliance documentation is in place within each scanner prior to deployment, including CQC and regulatory posters, safety notices, and any site-specific signage requirements.
  • Coordinate and schedule the handback of units at the end of contracts, ensuring scanners are returned in the correct condition and all associated documentation is completed accurately and on time.
  • Attend customer sites on the first day of deployment to conduct formal handovers where required, ensuring clinical teams are fully briefed on the unit and that any site-specific requirements are addressed before scanning commences.
  • Carry out on-site compliance and safety checks at handover, verifying that the scanner and its environment meet all operational and regulatory requirements prior to clinical use.
  • Support the Operations team with site visits and deployments across both staffed and unstaffed workstreams as and when required, providing on-the-ground assistance to ensure continuity of service.

Documentation, Records & Communication

  • Complete all handover documentation accurately and in a timely manner, including the collation of photographic evidence that is date and time stamped, ensuring a clear and auditable record of each unit’s condition at the point of deployment and handback.
  • Ensure all mobilisation records are organised, complete, and submitted within agreed timeframes, maintaining compliance with ISO 9001:2015 and any applicable regulatory or customer requirements.
  • Liaise proactively with the Regional Mobile Manager (RMM) and Deputy Regional Mobile Manager (DRMM) teams to align mobilisation activities with operational deployment plans, flagging risks or conflicts at the earliest opportunity.
  • Communicate and coordinate with the Commercial team in relation to upcoming deployments, ensuring commercial requirements, contractual commitments, and customer expectations are understood and met.

Compliance & Quality Management

  • Ensure all mobilisation activities are carried out in accordance with relevant regulatory frameworks, health & safety requirements, and company policy.
  • Identify and escalate compliance risks or gaps to the Head of Service Delivery immediately, ensuring any non-conformances are documented and resolved without delay.
  • Support the preparation and submission of documentation required for regulatory inspections, CQC requirements, accreditations, and quality audits.

Operational Support

  • Act as cover for the Head of Service Delivery when required, assuming responsibility for key operational duties and decisions in their absence, including oversight of active deployments, escalation management, and liaison with internal and external stakeholders to ensure continuity of service delivery across both staffed and unstaffed workstreams.
  • Maintain a thorough working knowledge of the Head of Service Delivery’s responsibilities, current operational priorities, and active contracts, so that effective and informed cover can be provided at short notice and without disruption to the business.
  • Attending site visits alongside or in place of the RMM/DRMM where operationally required, and acting as a reliable point of contact during periods of high demand or absence.
  • Support the Regional Mobile Manager (RMM) and Deputy Regional Mobile Manager (DRMM) teams with deployment coordination, operational queries, and site-specific requirements, acting as a collaborative bridge between the mobilisation function and the regional operations teams.
  • Contribute to the wider operational team as a flexible resource, assisting with ad hoc deployments, urgent site issues, and cross-workstream operational priorities as directed by the Head of Service Delivery.

To do this job well, you will need...

Essential Skills

  • Experience in a logistics, operations coordination, or mobilisation role, ideally within a healthcare or technical environment.
  • Demonstrable experience in schedule management and coordination of multiple concurrent workstreams.
  • Strong working knowledge of Microsoft 365 including Excel, Outlook, Teams, Word, and SharePoint.
  • Full UK driving licence and willingness to undertake nationwide travel as required by business needs
