Job Title: Mortgage Administration Assistant

We are looking for a Mortgage Administration Assistant to join our driven Mortgage Admin Team. You’ll have an amazing opportunity to use your administrative, organisational, and time management skills to provide an excellent service to our existing mortgage customers.

You’ll work with your customer-facing colleagues to ensure that accurate information is always provided to our mortgage customers, and will ensure the Society's mortgage accounts are administered accurately and efficiently in line with regulatory requirements.

Salary and Working Hours

  • Salary: £25,354.19 per annum
  • Working Hours: Monday to Friday 8:45am - 5:00pm (36.25 hours per week)
  • Location: Hybrid working – work partially from our Head Office (Cambridge)

What You'll Be Doing

  • Maintain accurate mortgage account records and complete amendments when identified via regular reporting.
  • Ensure all regulatory communications are accurately issued throughout the term of the mortgage.
  • Understand and adhere to SLA’s, in line with business requirements and customer expectations.
  • Maintain accurate records of documents and case notes. Understand the documentation requirements and escalate suspected fraudulent cases via the required internal channels.
  • Accurately process first monthly payment letters, product switches, overpayment instructions, adding fees, DD changes, redemption payments, and redemption statement requests.
  • Deal with queries into the inbox relating to all of the above matters e.g. re overpayment limits/ERCs, redemption refunds/shortfalls, etc - verbally and in writing where necessary.
  • Support with ensuring post completion deeds and documents are received and registered.
  • Deal with incoming post, ensuring it’s emailed to the correct inbox and that original documents that need returning or signing and sealing are stored securely.
  • Investigate returned mail and ensure required actions are taken.
  • Review and confirm supporting documents in accordance with relevant internal policies and regulations.
  • Assist with regulatory communication checks such as product maturity letters and bulk mortgage mailings to include statement and base rate changes.
  • Administer Specialist Lending support within your mandated limit including onboarding loan requests, monitoring activities, processing payments, invoice and fee reconciliation, and managing redemptions.
  • Assist the Financial Support area with administrative tasks during peak demand.
