Do you already have experience in mortgage administration, enjoy the technical and organisational side of mortgages, and want a role where you can take real ownership of cases?

We’re looking for an experienced Mortgage Administrator who is ready for their next challenge, working closely on a one-to-one basis with one of our busiest Mortgage Advisers.

This role would particularly suit someone who enjoys being the person behind the scenes making everything happen. You don’t necessarily want to become a Mortgage Adviser yourself. Instead, you enjoy managing cases, solving problems, keeping things moving and knowing that the adviser and their clients can rely on you.

About Us

Barfield Financial Advisors is an established Mortgage and Financial Planning practice based in Northampton. We provide advice across Mortgages, Protection, Pensions, Investments and Estate Planning, with a strong focus on providing a personal and high-quality service to our clients.

We have a close team, a busy mortgage department and a growing client base. As the business continues to grow, we’re looking for someone who can take a much greater level of ownership over the mortgage journey alongside one of our busiest advisers.

About the Role

This is more than a traditional mortgage administration position.

You’ll work closely with a dedicated Mortgage Adviser, becoming their key support person and helping manage a busy pipeline of clients from the early stages of the mortgage journey right through to completion.

The adviser will remain responsible for the regulated advice and recommendation, but you’ll take ownership of much of what happens around that advice.

That means keeping cases organised, preparing what the adviser needs, progressing applications, dealing with lenders and solicitors, communicating with clients and spotting what needs doing before someone has to ask.

There will be a high volume of work, so you’ll need to genuinely enjoy being busy. We’re looking for someone who can keep on top of a large caseload without letting the quality of their work or client communication slip.

For the right person, the aim is to build a genuine adviser and case manager partnership where you understand the adviser, their clients and their pipeline inside out.

Your responsibilities will include, but won’t be limited to:

  • Working one-to-one with a busy Mortgage Adviser to manage their client pipeline and day-to-day case requirements
  • Supporting the preparation of mortgage cases before and following adviser meetings
  • Gathering and checking client documentation and identifying anything outstanding
  • Processing mortgage applications accurately and efficiently from submission through to completion
  • Managing a high volume of live mortgage cases at different stages
  • Proactively progressing cases rather than waiting for updates or instructions
  • Liaising with lenders, business development managers, solicitors, estate agents and other third parties
  • Keeping clients regularly informed and making sure they understand what is happening next
  • Identifying potential delays or issues and taking action to resolve or escalate them
  • Preparing client and provider correspondence and other case documentation
  • Maintaining accurate and complete client files and CRM records
  • Managing follow-ups, outstanding requirements, deadlines and key dates
  • Helping the adviser organise and prioritise their pipeline
  • Supporting protection applications and associated case administration where required
  • Ensuring cases meet our internal standards and relevant regulatory and compliance requirements
  • Working with the wider administration team when required, while taking primary responsibility for your adviser’s pipeline

About You

This role will suit someone who already understands mortgage administration and is ready to take considerably more ownership.

Most importantly:

  • You take genuine pride in your work, give 100% and naturally want to do a good job for both the client and the adviser you support
  • You have previous mortgage administration experience and are comfortable managing cases from application through to completion
  • You enjoy the operational and case management side of mortgages and don’t need to be the person giving the advice to feel that you’re progressing in your career
  • You can handle a large workload and multiple live cases without becoming overwhelmed or losing attention to detail
  • You are proactive. If something needs chasing, checking or resolving, your instinct is to get on with it rather than wait to be asked
  • You take ownership of your cases and follow things through
  • You are highly organised and able to prioritise when several things need your attention at once
  • You understand how important accuracy and good record keeping are within financial services
  • You communicate confidently and professionally with clients, lenders, solicitors and colleagues
  • You’re comfortable building a close working relationship with an adviser and becoming someone they can genuinely depend on
  • You enjoy being part of a team, while also being confident managing your own workload
  • You have strong IT skills and are comfortable learning and using different mortgage and CRM systems
  • You have a positive attitude and are happy working in a busy environment where no two days are quite the same

Desirable, but Not Essential

  • CeMAP or equivalent mortgage qualifications
  • Experience working within the Quilter network
  • Experience using Xplan
  • Experience supporting a high-performing or high-volume Mortgage Adviser
  • Experience preparing cases prior to advice or carrying out more technical mortgage administration

You’ll have the chance to develop into a genuine Mortgage Paraplanner / Case Manager position, working closely with an experienced and busy adviser and taking real responsibility for the management of their clients and cases.

You’ll also be joining a close team where people support each other, but where we expect everyone to take ownership and care about the standard of their work.

Location & Hours

  • Monday to Friday – 37.5 hours per week (9:00am – 5:30pm)
