MOVES COORDINATION – PHYSICAL MOVE EXECUTION & BUSINESS ENGAGEMENT

Role Overview
We are seeking experienced Moves Support professionals to strengthen on-site delivery, physical move execution oversight, and pre-move business engagement across a busy corporate office portfolio. This role provides hands-on operational support, ensuring that all move activity is delivered safely, accurately, and in line with organisational standards. You will act as the on-site operational lead during move phases, supporting business teams, supervising vendors, and ensuring every relocation is executed correctly from start to finish.
Key Responsibilities
Pre-Move Business Engagement:
- Engage with business partners ahead of move activity to confirm requirements, headcount, special needs, and operational constraints.
- Support pre-move meetings, providing clear guidance on timelines, responsibilities, crate usage, labelling, and readiness expectations.
- Conduct pre-move floor walks with business representatives to validate readiness and identify risks or blockers.
- Capture and communicate last-minute changes, ensuring alignment between business teams, vendors, and the delivery lead.
- Conduct audits of filing, storage units, lockers, and furniture to confirm volumes, identify excess items, and ensure business areas are prepared for move activity.
- Work with business teams to reduce, consolidate, or reallocate filing and storage ahead of move phases.
- Validate that all furniture and filing assets are labelled, accounted for, and aligned with the move plan.

On-Site Move Execution Oversight:
- Provide physical supervision during all move phases including pre-move readiness checks, move-day oversight, and post-move validation.
- Conduct floor walks to confirm readiness including crate placement, labelling, IT equipment positioning, access routes, and safety compliance.
- Supervise move vendors such as relocation teams, furniture installers, and IT support to ensure safe, efficient, and compliant execution.
- Monitor live move progress and escalate issues immediately to the delivery lead.
- Validate completion of moves, ensuring desks, equipment, and personal items are correctly placed and operational.
Client and Stakeholder Interaction:
- Act as the on-site contact for business units during move activity.
- Support teams with queries, last-minute changes, and operational guidance.
- Provide clear communication during move phases, ensuring stakeholders understand timelines and expectations.
Operational Coordination and Support:
- Assist with crate distribution, signage, labelling, and move-day logistics.
- Ensure compliance with building rules, health and safety requirements, and operational standards.
- Capture issues, risks, and lessons learned to support continuous improvement.
- Support the delivery lead with daily reporting, checklists, and completion documentation.

Site Readiness and Quality Assurance:
- Verify that move areas are safe, accessible, and prepared for vendor teams.
- Check that furniture, IT equipment, and environmental conditions meet required standards post-move.
- Ensure all waste, crates, and redundant items are removed and areas are left clean and operational.
- Verify that filing, storage units, and furniture have been relocated correctly and match business requirements post-move.
- Ensure redundant or excess items are removed, logged, and escalated for disposal or reallocation.
- Confirm that all filing and furniture assets are placed safely, do not obstruct access routes, and meet workplace standards.
Required Skills and Experience
- Experience in physical move execution, workplace operations, or facilities coordination.
- Strong awareness of health and safety, manual handling, and safe working practices.
- Confident supervising vendors and engaging directly with business teams.
- Ability to work under pressure during live move phases.
- Good communication skills and a calm, professional manner.
- Flexibility to work early mornings, evenings, or weekends during major move events.
- Reliable and consistent in delivery.
- Strong attention to detail.
