NU - Senior Administrative Coordinator

Job Description

The Senior Administrative Coordinator (SAC) role provides senior administrative and coordination support across the MD4, MDT5 and MDT6 programmes at SGU/NU. The role ensures the effective delivery of academic and student administration in accordance with both University policies, procedures and regulations.

This role will provide executive support to the Assistant Dean, coordinates key academic and student activities, acts as a central point of contact for students and faculty, and supervises administrative support functions within the Academic Administration Office, and line manages two Admin Assistants.

Essential Functions

Academic and Faculty Support

  • Provide administrative and executive support to the Assistant Dean of Basic Sciences.
  • Coordinate academic administration and support to faculty across the SGU/NU programmes.
  • Maintain effective communication with faculty, staff, senior management and students.
  • Coordinate support of key meetings, projects and workstreams, including minute-taking and action tracking.
  • Coordinate academic activities including Selectives, examinations, assessment administration and student records.
  • Liaise with SGU, Northumbria University and international colleagues to support effective programme delivery.

Student Support

  • Provide oversight of student-facing administration, enabling the office to be the most appropriate first point of contact for enquiries.
  • Coordinate formal student communications and ensure key information is shared appropriately and in a timely manner.
  • Support and liaise with the appropriate personnel to facilitate actions in the following areas: onboarding, registration, orientation, accommodation and pre-arrival arrangements.
  • Maintain accurate student information and records in accordance with University requirements.
  • Support student engagement activities, including prospective student webinars and Student Societies.

Operational Coordination

  • Work closely with the Assistant Director of Enrollment Operations in all matters relating to admissions and recruitment administration.
  • Coordinate and manage key programme activities including Orientation, Meet & Greet, White Coat provision, student resources and shipments.
  • Oversee the effective maintenance of administrative systems, databases and records to support programme delivery.
  • Coordinate travel and accommodation arrangements for Executive visits to the UK campus.
  • Manage office operations (including but not limited to: stationary supplies, invoicing, postal enquiries and reporting of Estates issues).
  • Liaise with Payroll regarding Simulated Patient payment processing, ensuring appropriate documentation is submitted and recorded on a monthly basis.
  • Supervise and coordinate administrative support staff, delegating tasks and ensuring effective delivery of office processes.

Essential Knowledge, Skills and Abilities

  • Strong administrative, organisational and coordination skills.
  • Excellent written and verbal communication skills.
  • Ability to prioritise and manage competing demands in a busy environment.
  • High level of accuracy and attention to detail.
  • Proficiency in Microsoft Office and the ability to use and develop expertise in relevant databases and systems.
  • Ability to exercise sound judgement, resolve issues and work proactively.
  • Ability to work effectively both independently and as part of a team.
  • Ability to coordinate and delegate tasks appropriately.
  • Commitment to confidentiality and professional handling of student and academic information.
  • Must have the legal right to work in the United Kingdom.

Work Environment and Hours

The role is based within a professional office environment and requires regular use of standard office equipment and systems. The post is 35 hours per week, Monday to Friday, with core hours of 9:00am–5:00pm and some flexibility as required. Occasional remote work may be agreed with the Assistant Dean’s approval.

The role is based at a single office location and does not routinely require travel.
