Job Title: Ocean Freight Coordinator
Job Type Permanent, full-time.
Working Hours Monday to Friday, 8:30am – 5.30pm (including a 1-hour unpaid lunch break). 40 hours per week.
Salary £30,000.000 - £33,500 per annum (salary depending on experience)
About the Role Assist Sea Freight Operations in the execution of their duties in support of the Head of Ocean’s vision of the company to become more competitive and profitable.
Key Responsibilities
- Understand and execute the department's vision of good business development in order to successfully move Sea Freight products.
- Complete all Export and Cross Trade activities correctly and on time including financial, legal, and invoicing transactions.
- Correctly complete all customs export declaration forms.
- Ensure all operational activities are completed on time.
- Immediately report any amendments to the customs declaration forms to line manager.
- Maintain and utilize the operational system at all times.
- Maintain regular communication with line manager, reporting new sales leads and handover of shipments.
- Assist in maintaining current SOPs for the department.
- Maintain excellent customer and inter-departmental relationships at all times giving regular feedback to line manager.
- Follow up late customer payments in conjunction with credit control.
- Communicate quotations to the line manager/sales team and ensure all quotations are recorded on the system in one format.
- Implement and improve new efficiencies in customer workflow in conjunction with line manager.
- Accurately complete all invoicing for exports and clients within 48 hours of final activity.
- Ensure insurances are charged correctly and any insurance claims are handed to line manager without delay.
- Provide holiday and sickness cover as required.

Skills, Experience and Competencies
- Minimum of 2 years Sea Export experience
- Knowledge of Sea import or air exports would be preferred
- Ability to prioritize own workload but also be able to work as part of a team
- Fully conversant in IT skills, e.g., Microsoft Office Suite (Word, Excel) and systems
- Excellent communication skills over the telephone and email
- Experience with Excel reporting
- Good team working skills
- Good understanding of logistics processes and procedures
- Ability to work as part of a team as well as being confident independently
- Demonstrable working administrative background
- Must have analytical skills, with a high level of detail
