Office Administration Apprentice

Hi-Tech Automation in Kettering are looking for a Office Administration Apprentice to join their team. You will learn so much in this role, please read the full job description so you can find out more.

What you'll do at work

HI Tech Automation in Kettering need an apprentice to help them and learn all about their business and gain the skills you will need for a career in business.

As an Office Administration Apprentice you will, once trained, become responsible for the overall general office duties. You will maintain a sufficient product stock, deal with quotes and purchase products for clients and learn about basic accounts payable and receivables. You will assist in new employee recruiting and provide Human Resources duties.

What will be your duties and responsibilities:

  • Purchasing - this will be 25% of the role

    • Research their suppliers for the best price
    • Working with Sales and/or Service Depts. regarding the customers request
    • Generate a quote and submit to the customer for approval
  • Bookkeeping - this will be 20% of the role

    • Receive customer payments and confirm the correct amount has been paid
    • Receive invoices from suppliers and confirm amounts are correct
    • Generate spreadsheets
    • Review aged debtors weekly and send payments reminders to customers who have exceeded their payment terms
  • General Office Duties - this will be 15% of the role

    • Filing
    • Answer phones
    • Receive and open mail
    • Order office supplies
    • Setup and maintain new agreements for our customers
  • Invoicing - this will be 15% of the role

    • Invoice customers for products through Sage software, for which you will be trained
    • Order standard components using SAP, again you will be trained
  • 25% Miscellaneous tasks assigned by management

What you'll learn

Course contents

Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.

Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management.
