Location: London (Hybrid)
Working Pattern: Full-time – 9.30am-5.30pm, 4 days per week in the office, 1 day working from home

About the Role
We are looking for a proactive and enthusiastic Office Administrator to join our successful and expanding business. This is an important and varied role at the heart of the business, supporting office operations, project administration, client coordination, invoicing, reporting and employee support.
This position would suit someone who enjoys responsibility, organisation, takes pride in their work, and is keen to learn new systems and processes. We are looking for an individual with a positive attitude who is happy to get involved wherever needed and contribute to a friendly, supportive, and collaborative working environment.
Key Responsibilities
Office Administration & Team Support
- Manage the day-to-day administration and smooth running of the office
- Coordinate office supplies, equipment, refreshments and workplace facilities
- Liaise with building management and external suppliers
- Support employee engagement initiatives, office events and team activities
- Arrange and coordinate UK and international business travel, accommodation, and itineraries for employees
- Maintain office systems and provide general administrative support to the wider team

Project, Client & Business Coordination
- Create and maintain project records across internal systems
- Update and manage project databases, trackers, and reporting tools
- Support project set-up, administration, and project close-down activities
- Schedule client presentations, meetings, and diary commitments
- Support project teams with administrative requirements throughout the project lifecycle
- Act as a professional first point of contact for clients, suppliers and external stakeholders
Finance & Reporting
- Raise and issue client invoices using company systems
- Monitor invoice status and assist with payment follow-ups
- Process participant reimbursements and maintain accurate payment records
- Support reporting activities and maintain accurate business data and records
Systems, IT & HR Administration
- Coordinate IT support requests with external providers
- Assist with onboarding new employees, including laptop setup and administrative processes
- Maintain internal systems, records, and company documentation
- Support the maintenance and review of company policies and procedures

About You
We're looking for someone who:
- Has a positive, ‘can-do’ attitude and a willingness to learn
- Is friendly, approachable and respectful in their interactions with colleagues, clients and suppliers
- Has excellent organisational skills and strong attention to detail
- Can manage multiple tasks and priorities effectively in a fast-paced environment
- Is proactive, reliable, and takes ownership of their responsibilities
- Is confident using Microsoft Office and learning new systems and software
- Enjoys working as part of a team and supporting others
