Administrative Officer

Imperial Advisory Ltd is seeking a motivated, organised and professional Administrative Officer to join our growing team.

The successful candidate will provide administrative and operational support to the business, assist with client enquiries, maintain accurate records and documentation, and help ensure the smooth day-to-day running of the office.

Key Responsibilities

The successful candidate's duties will include:

  • Providing general administrative and clerical support to management and other team members.
  • Handling telephone calls, emails and correspondence in a professional manner.
  • Preparing, reviewing and maintaining business documents, records, spreadsheets and reports.
  • Managing appointments, meetings, diaries and internal schedules.
  • Maintaining accurate electronic and paper filing systems.
  • Communicating with clients and assisting with client enquiries.
  • Supporting Vietnamese-speaking clients and assisting with communication where required.
  • Assisting management with business administration, compliance and operational matters.
  • Maintaining confidentiality when handling sensitive client and company information.
  • Carrying out other reasonable administrative duties required for the effective operation of the business.
  • Assisting Marketing team to help to promote the success stories of the clients.

Essential Requirements

Applicants must:

  • Have a Master's degree or equivalent postgraduate qualification or otherwise have appropriate professional experience relevant to the position.
  • Have excellent written and spoken English.
  • Have proficiency in the Vietnamese language, as the role involves regular communication with Vietnamese-speaking clients and contacts.
  • Have strong administrative, organisational and time-management skills.
  • Be confident using Microsoft Office, email systems and general office software.
  • Have excellent attention to detail and the ability to maintain accurate records.
  • Be able to work independently as well as part of a team.
  • Have professional communication and customer-service skills.

Previous experience in an administrative, advisory, professional-services or client-facing environment would be advantageous.
