Working Pattern: Full-time or part-time, office-based, five days a week
We are looking for the person who quietly makes everything work.
Someone who writes a polished email, spots the detail others miss and follows a task through properly. Someone who is happy to get stuck in, but equally comfortable asking a sensible question when something is unclear. If colleagues can hand you a task and trust that it will be completed carefully and on time, you could be exactly who we are looking for.

Hoffmann Reed is a specialist executive search and human capital advisory firm. We work with asset managers, asset owners and the professional advisers and providers that support them. We are a growing, down-to-earth team based in the beautiful Ashton Old Baths. We take our work seriously, but not ourselves: the atmosphere is friendly and unpretentious, while the service we provide to clients and candidates is consistently professional.
The role
This is a broad, hands-on role supporting our sales and delivery teams and helping the office run smoothly. You will keep information accurate, documents polished, meetings organised and everyday tasks moving. There will also be occasional support for our CEO and the wider team.
You do not need to arrive knowing our systems or the executive search industry. We would, however, value previous experience in an office, administrative or client-facing environment. What matters most is how you work: with care, calm judgement, curiosity and a strong sense of ownership.

What you will do
- Provide dependable day-to-day administrative support across our sales and delivery teams.
- Maintain accurate client, candidate and market information in our CRM and applicant tracking system.
- Set up new assignments, clients, contacts and candidates, and keep records complete and up to date.
- Prepare, proofread and format client and candidate documents, presentations and other business materials.
- Arrange calls, interviews and meetings, making sure the details are right and everyone has what they need.
- Help produce routine reports and support follow-ups throughout executive search assignments.
- Welcome visitors, prepare meeting rooms and help coordinate team meetings, lunches and occasional events.
- Manage office supplies and liaise with suppliers and service providers.
- Support travel, quarterly Board meetings and occasional diary or administrative tasks for the CEO.
What we are looking for
- Previous experience in an office, administrative or client-facing role, with the confidence to work independently.
- Strong written communication, spelling, grammar and proofreading skills.
- Fabulous attention to detail and pride in producing accurate, well-presented work.
- A proactive, practical approach: you notice what needs doing and are willing to help.
- Ownership and reliability: when you commit to a task, you follow it through.
- The confidence to ask questions, check assumptions and seek clarity rather than guess.
- A friendly, professional manner with clients, candidates, suppliers and colleagues.
- Highly organised with the ability to handle changing priorities in a growing business.
- Comfort with Microsoft Office and a willingness to learn new systems.
- Discretion when handling confidential information.

Working pattern
We are genuinely open-minded about hours. The role could be full-time, or it could work brilliantly for someone returning to work or seeking shorter days around commitments such as school drop-offs and pick-ups. Our preference is for the agreed hours to be worked across five days, because the value of the role comes from providing consistent daily support to the team.
This is an office-based position at Ashton Old Baths in Ashton-under-Lyne. The full-time salary is £27,000 per annum; part-time arrangements would be paid on a pro-rata basis. We care more about finding the right person and agreeing a pattern that works than insisting on one standard schedule.
