Job Title: Office Coordinator – Sales

Location: London

Salary: £40,000 – £43,000

Hours: Monday to Friday, 09:00 – 18:00

Aston Chase is an established and highly regarded estate agency, specialising in some of London’s most desirable residential markets.

We are looking for an organised, proactive and personable Office Coordinator – Sales to join our team and provide essential administrative and operational support to our busy Sales department.

The Role

As Office Coordinator, you will play a key role in keeping the Sales team running smoothly. You will be responsible for coordinating day-to-day administration, supporting clients and ensuring property and transaction information is accurate and up to date. You will work closely with the Sales team and other departments, helping to maintain a professional, efficient and high-performing office environment.

Key Responsibilities

  • Provide comprehensive administrative support to the Sales team.
  • Prepare and manage property sales documentation, listings and pre-offer information.
  • Maintain accurate property, client and transaction records across internal systems.
  • Coordinate client appointments, property viewings and the office diary.
  • Manage incoming emails, calls and correspondence, ensuring enquiries are handled promptly and professionally.
  • Welcome clients and provide a high level of customer service.
  • Assist with resolving client queries and issues efficiently.
  • Prepare and update property listings across relevant platforms and internal systems.
  • Support local marketing activity, promotional materials and events.
  • Produce and distribute sales performance reports to management.
  • Help maintain an organised, professional and well-stocked office environment.
  • Act as a key point of coordination between the Sales team and other departments.
  • Ensure processes and transactions are completed in line with relevant regulations and company policies.
  • Use CRM systems to accurately record and manage client interactions and property information.

About You

We are looking for someone who is highly organised, detail-oriented and confident working in a fast-paced estate agency environment.

  • Highly organised with excellent attention to detail.
  • Confident managing multiple priorities and deadlines.
  • A strong communicator, both written and verbal.
  • Customer-focused and professional in your approach.
  • Comfortable working with CRM systems and Microsoft Office.
  • Proactive, reliable and able to work independently.
  • A positive team player who enjoys supporting a busy sales environment.
