Office Coordinator - Lettings
Location
London (Battersea, Canary Wharf, Islington, Knightsbridge, Wandsworth)
Hours
Monday to Friday 8:30 am - 6:00 pm
Salary
£26,500 - £29,000 + KPI bonus
The Role
We are seeking a highly organised and customer-focused Office Coordinator to support the day-to-day operations of our busy Lettings office in London offices.
This role is integral to ensuring the smooth running of the office, delivering exceptional administrative support, maintaining regulatory compliance, and providing an outstanding client experience throughout the lettings process.
The successful candidate will possess excellent organisational skills, strong attention to detail, and the ability to manage multiple priorities within a fast-paced, client-facing environment.
Key Responsibilities
Administration & Office Support
- Provide comprehensive administrative support to the Lettings team, ensuring the efficient operation of the office.
- Prepare, process and maintain property-related documentation, including marketing materials, tenancy documentation and pre-offer information.
- Accurately update and maintain CRM systems, property databases and client records.
- Coordinate diaries, arranging property viewings, appointments and internal meetings.
- Manage incoming telephone calls, emails and correspondence, ensuring enquiries are handled promptly and professionally.
Lettings & Marketing Support
- Assist with the preparation, quality assurance and ongoing maintenance of property listings across internal systems and online portals.
- Support local marketing initiatives by coordinating promotional materials, campaigns and office events.
- Produce regular reports and management information to support business performance and operational decision-making.

Operational Coordination
- Maintain a well-presented, fully operational office environment, ensuring supplies and resources are effectively managed.
- Act as a central point of coordination between the Lettings team and internal departments to facilitate effective communication and workflow.
- Support the wider team with ad hoc administrative and operational projects as required.
Compliance & Risk Management
- Ensure administrative processes and property transactions are completed in accordance with relevant legislation, industry regulations and company policies.
- Maintain accurate records to support audit requirements and regulatory compliance.
- Promote best practice in data protection, confidentiality and information security, ensuring compliance with GDPR and internal governance procedures.
Skills & Experience
- Previous experience in an administrative, coordination or office support role, ideally within residential lettings, estate agency or the wider property sector.
- Exceptional organisational skills with the ability to prioritise a varied workload.
- Excellent verbal and written communication skills.
- High level of accuracy and attention to detail.
- Strong customer service ethos with a professional and approachable manner.
- Proficiency in Microsoft Office and CRM systems.
- Ability to work independently while contributing effectively as part of a collaborative team.
- A proactive approach with a commitment to delivering high standards of service and operational excellence.
