Role Overview
Prospective applicants will have at least two years of experience within a similar role. The applicant must be a good team member, self-motivated, and possess the ability to work under their own initiative.
Key Duties and Responsibilities
- Manage the day-to-day running of the college office, ensuring that administrative activities are carried out efficiently and professionally.
- Answer and manage incoming telephone calls, responding to enquiries appropriately and directing calls to the relevant member of staff where necessary.
- Meet and greet students, visitors, clients, parents, professional representatives, and other stakeholders, providing a welcoming and professional first point of contact.
- Manage diaries and appointments, arranging meetings and coordinating schedules for relevant staff and management.
- Prepare, type, and format correspondence, letters, reports, meeting documents, and other administrative materials.
- Draft and distribute routine correspondence and communications as required.
- Maintain effective communication and correspondence with professional organizations, external agencies, and other relevant stakeholders.
- Respond to and manage student-related enquiries, providing appropriate information and referring matters to the relevant department or manager when required.
- Maintain accurate and up-to-date administrative records, files, and documentation, ensuring confidentiality and compliance with college procedures.
- Liaise with first-line management and relevant departments to coordinate administrative activities and ensure matters are followed up appropriately.
- Escalate issues, concerns, or matters requiring management attention and discuss these with first-line management and/or senior management as appropriate.
- Receive and implement executive direction regarding issues arising within the office and ensure agreed actions are followed through.
- Assist with the organization and coordination of meetings, appointments, events, and other college activities.
- Support staff and management with general administrative tasks and ad hoc duties as required.
- Ensure that enquiries and requests are dealt with promptly, courteously, and professionally.
- Handle sensitive and confidential information appropriately and maintain a high standard of professionalism at all times.
- Contribute to the effective communication and smooth running of the college by working collaboratively with staff across different departments.
- Undertake any other reasonable administrative duties consistent with the role and responsibilities of the post.

Post/Emails
- Daily check emails and follow up on emails or refer to the manager.
- Print relevant documents attached to emails where needed.
- Open post, refer documents to manager, file if necessary.
- Increase the database of emails and potential clients and companies.
- Provide continuous feedback and contact to existing clients, customers, and partners.
Correspondence/Filing
- Maintain all files and records of students and staff.
- Maintain and update the partners and awarding bodies.
- Office stationery, cleaning equipment located within the cupboard outside the office.
- Maintain stock for books and stationery.
- Develop relationships with link businesses and coordination bodies.
- For outgoing letters, ensure correct spelling and grammar.

Diary
- Maintain and update the diary daily and update the appointment diary of senior management.
- Remind the manager of bookings, events, important issues, etc.
- Review the diary and plan with new objectives to expand the business.
Digital/IT Skills
- Excellent telephonic manners and telephone greeting.
- Check for messages on the answering machine and screen calls.
- If no manager is around, ask for a message and take relevant details.
- Excellent communication and digital skills.
- Familiar with social media platforms.
- Confident in using Microsoft Office Software.
