Reports to: Operations Manager

Job Summary

We are seeking an organised and proactive Office Administrator to oversee the day-to-day running of our office. The successful candidate will ensure smooth business operations by providing administrative support, managing office resources, coordinating suppliers, and supporting employees across the organisation. This role requires excellent organisational skills, attention to detail, and the ability to manage multiple priorities effectively.

Key Responsibilities

  • Manage day-to-day office operations, including supplies, equipment, shredding and facilities
  • Greeting customers and guests and offering refreshments to create a positive client experience
  • Handle incoming calls, emails, and correspondence professionally
  • Schedule meetings, appointments and travel arrangements
  • Maintain accurate records and filing systems (digital and physical)
  • Produce client quotes and subcontractor orders
  • Collation of documents associated with company vehicles for servicing and MOT’s
  • Maintain accurate financial records, issuing invoices, expense tracking and chasing for payments
  • Support team members with administrative tasks as required to ensure operational efficiency
  • Ensure compliance with health and safety regulations such as office risk assessments
  • Assist in organising company events and meetings
  • Assist with implementing and improving business processes
  • General admin duties as the business requires

Essential Criteria

  • Intermediate ICT Skills to include Microsoft 365
  • Experience of working in an administrative role
  • Ability to undertake tasks on own initiative, operating administrative procedures and systems effectively
  • High level of attention to detail and organisation
  • This post requires as standard Enhanced Disclosure and Barring Service (EDBS) and Baseline Personal Security Standard (BPSS) checks
  • Further security checks may be required
