Role

The UK Office Manager reports to the Manager, Facilities and Administration (based in Canada) but will be locally managed by the Products Director. In this role you will ensure the smooth running of all UK Equisoft offices. You will be a focal point for the UK teams, working closely with the business teams and buildings management to make certain that the office environment is ready and effective. You will also be instrumental in ensuring that the UK office is a positive and thriving place to work, running socials and adding an element of human care to the workplace.

This is an excellent opportunity for someone who thrives on helping people, troubleshooting a range of issues, and who enjoys being that person who the wider team turn to for help and has the skills to enhance our local office community. You will support the Products team in any administrative duties as, not exclusively, invoicing.

Your Day with Equisoft

  • Based in the Bath office with the expectation being to work from the office every day
  • Occasional travel to support remote office sites
  • Daily checks to ensure that office facilities are functional and working as expected, working closely with the IT Team
  • Primary point of contact for all office issues: Guest visits, meet and greet and coordination
  • Access control
  • Mechanical technical faults
  • Security
  • Parking
  • Cleaners
  • Insurance
  • ESG
  • Management of the relationship with building management. Report, track, escalate building issues on behalf of the company: Service provision, Access, Utilities
  • Distribute building or site critical information to the company on behalf of building management
  • General queries
  • Management of office suppliers
  • Cleaners
  • Plant care
  • Secure document disposal
  • Health & safety representative
  • Ensures general safety of the offices and ensuring regulatory requirements are met
  • Co-ordination of First Aiders and Fire Marshalls and the training thereof
  • Work closely with UK Risk and Compliance to implement policy and audit frameworks
  • Strong engagement in social committee and events
  • Co-ordination of company events
  • Any other administrative job necessary in an office environment
